NineDot is committed to building a company that exemplifies diversity, equity and inclusion values in its team culture, as well as business practices and community engagement.Job SummaryReporting to the VP, People & Culture, the Executive Assistant will play a crucial role in supporting our C-level executives within our rapidly growing organization. This individual will be responsible for managing a wide range of administrative,executive and personal support-related tasks, ensuring the smooth operation of daily activities. In addition to primarily supporting C-level executives this person will support other leaders in the business on an ad-hoc basis.Though the role will be based at NineDot's office in Brooklyn, NY candidates must be willing to travel regularly within New York City to effectively support executive leaders at offsite locations. The ideal candidate is highly organized, detail-oriented, proactive, and able to handle a fast-paced, dynamic environment with grace and professionalism. Proficiency in Google and MS Office productivity suites, as well as alternative collaboration tools, is a prerequisite. A passion for clean energy is a welcomed addition to their qualifications.Responsibilities
  • Provide high-level administrative support to several executives, including managing calendars, scheduling meetings, coordinating travel arrangements, and handling correspondence.
  • Serve as the primary point of contact between executives and internal/external stakeholders. Review and manage communications, including emails, memos, and reports.
  • Draft correspondence, presentations and memos.
  • Organize and prepare materials for meetings, including agendas, presentations, and minutes. Ensure follow-up on action items and deadlines.
  • Assist in the planning and execution of special projects and initiatives. Track progress and provide regular updates to the executive team.
  • Oversee the organization and maintenance of office space. Manage office supplies and equipment, ensuring everything is in working order, well stocked, and tidy.
  • Handle sensitive information with the highest level of confidentiality and discretion.
  • Printing documents and correspondence when required.
  • Manage executive expense reports.
  • Mailing documents and packages as needed.
  • Support the planning and execution of internal and external events.
  • All other duties as assigned.

Requirements
  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 4 years of experience in an executive assistant or similar role, preferably in a startup or fast-paced environment.
  • Technical proficiency with both Microsoft and Google suites, specifically with MS Excel and PowerPoint, and Airtable.
  • Residing in close proximity to our office in Brooklyn is strongly preferred due to the nature of the job.
  • Ability to regularly travel to locations throughout New York City for events and offsite meetings, sometimes on short notice.
  • Notary Public in New York State or willingness to obtain a license is preferred.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Strong interpersonal skills and the ability to work collaboratively with all levels of the organization.
