Summary of Position Purpose To support the success of the Wealth Services team, the Wealth Services Associate performs a variety of administrative trust and investment functions, including file preparation and maintenance, posting transactions, reporting, and research. The Wealth Services Associate is also responsible for providing an excellent customer experience when answering calls, responding to emails, and confirming appointments. The Wealth Services Associate's responsibilities include:
  • Under the Trust Operations Manager and Trust Officer's supervision, train in the substantive and technical aspects of the proper operation and administration of trusts.
  • Support the Department in trust account file preparation, review and maintenance, as well as daily and monthly operations matters.
  • Accurate, efficient, and thorough trust administration, including cash needs management, processing receipts and disbursements, account compliance with regulations, and coordination with operations and internal and external stakeholders.
  • Accurately Interprets trust instruments and other legal documents.
  • Complete preliminary work related to account open and close matters.
  • Accurately assist with the investment related documentation, reporting, research. Many of these activities are prepared daily, monthly, and quarterly. Sensitivity to deadlines for preparing investment related materials periodically is essential.
  • Accurately post transactions for accounts, transaction entries, monthly account and securities reconciliations and verification of assets. Interface, as needed, with the operations outsourcing company as well as investment firms engaged by the Department. Sensitivity to deadlines for posting transactions and month end reporting is critical.
  • Provides excellent customer service during customer interaction including but not limited to answering phone calls, responding to emails, and confirming appointments.
  • Act as a back-up to the Trust Operations Manager to provide daily operations, month-end balancing and account reconciliation. Assist with additional daily and monthly operational tasks as needed.
  • Ongoing training and development required. Participate in internal and external training regarding developments in law and related matters involving trust administration.
  • Proactively looks for ways to improve processes, procedures, and customer experience.
  • Regular attendance is required.
  • Other activities, duties or responsibilities that are required of the employee may be assigned.
  • QualificationsEducation and Experience
    • Bachelor's degree preferred equivalent work experience
    • 2 - 5 years of trust or wealth management administration or equivalent work experience
    • FIS Trust Desk experience preferred
    Required Skills, Abilities, Knowledge

    • Advanced proficiency in Microsoft Excel required in addition to intermediate proficiency in the remaining Microsoft Office suite applications
    • Technical aptitude, incluing the ability to learn and gain proficiency in the trust accounting system

    • Excellent attention to detail
    • Ability to multi-task and manage competing priorities
