Position Summary We are seeking a proactive and highly organized Project Manager to join our newly formed team dedicated to advancing initiatives in change management, portfolio management, project management, compliance, document management, and Global Capability Center (GCC) enablement. As a key player in this dynamic environment, you will play a critical role in building the team from the ground up, requiring a high level of adaptability and flexibility. The ideal candidate will have a strong blend of strategic thinking and hands-on operational skills to drive projects from conception to completion. You will work closely with cross-functional teams to ensure that all projects are executed efficiently, meet regulatory standards, and align with the organization's strategic objectives This role reports directly to the VP of Operations Excellence and involves working closely with the VP and the Operations Excellence team. Together, you will leverage shared expertise and resources to drive the successful execution of all initiatives. Responsibilities Essential Functions - First Year Objectives: Portfolio Management: Assist in overseeing the project portfolio to ensure alignment with business goals, optimal resource allocation, and timely delivery of key projects. Key responsibilities include:
  • Tools Portfolio Development:
    • Help develop and maintain a comprehensive tools portfolio library, cataloging details such as costs, contract dates, business owners, key features, and alignment with business strategies.
    • Support the establishment and maintenance of a centralized repository for tools, ensuring easy access, regular updates, and strategic alignment.
    • Assist in identifying and planning the decommissioning of outdated tools to streamline the portfolio.
  • Monday.com and Asana Optimization:
    • Work with the team to evaluate and optimize workflows within Monday.com and Asana, determining the best strategic use of each platform.
    • Contribute to the development and implementation of a strategy to ensure effective integration and alignment with business goals.
  • BOTs Implementation and Integration:
    • Identify opportunities for automation through BOTs to enhance efficiency and reduce manual workload.
    • Collaborate with the team to develop and execute a strategic plan for BOT implementation, ensuring seamless integration into workflows and measurable productivity improvements.
Project Management: Manage specific project life cycles from planning through closure, ensuring that projects meet scope, budget, and timeline requirements. Responsibilities include:
  • Future Digital Workflow/Dual IO Integration and Advancement:
    • Assist in the integration of the Future Digital Workflow across Media Brands agencies, coordinating with stakeholders to ensure alignment with business strategies.
    • Refine workflows to support successful deployment and continuous improvement of the Dual IO initiative.
  • Mediabrands Transition to Prisma:
    • Support the development and execution of a comprehensive implementation plan for transitioning Media Brands to Prisma, including testing, training, and phased rollout.
    • Monitor the transition process, providing ongoing support and adjustments as needed to meet operational requirements.
  • Orion Prisma Enhancements:
    • Collaborate with Mediabrands Product Owners and Managers to design, test, and coordinate enhancements to ensure alignment with business objectives.
    • Assist in developing a rollout strategy, including training and feedback mechanisms to improve user experience.
  • Project Management Standardization:
    • Support the establishment and implementation of standardized project management practices across the business, ensuring consistency and efficiency.
Complianceand Document Management: Assist in developing and maintaining document control processes to ensure accurate records, secure storage, and compliance with internal policies and regulations.
  • Document Repository Development:
    • Help develop and implement a cloud-based document repository.
    • Support the establishment, drafting, editing, and continuous updates of Standard Operating Procedures (SOPs), RASCI charts, and swim lane diagrams to ensure compliance.
    • Must be proficient in writing and maintaining these documents for business use, ensuring clarity, consistency, and alignment with organizational standards.
  • Audit and Compliance:
    • Assist in creating and maintaining documentation to ensure all workflows meet compliance standards.
    • Ensure that all documentation is regularly reviewed, updated, and signed off to adhere to regulatory and internal compliance requirements.
    • Conduct audits to verify that all documentation aligns with business standards and maintains data integrity.
GCC Enablement: Collaborate with the VP of Operations Excellence to drive the enablement and scaling of the Global Command Center (GCC), focusing on process standardization, efficiency, and effectiveness.
  • Onboarding and Communication Framework:
    • Support the establishment of a robust framework for onboarding and communication between the GCC and onshore teams, ensuring clear organization and transparency.
    • Help formalize communication protocols and integrate operational calendars to ensure seamless coordination.
  • Strategic GCC Scaling:
    • Assist in the development and execution of a comprehensive GCC scaling strategy, focusing on expanding capabilities to drive operational efficiency and innovation.
    • Support the phased scaling plan, helping to establish milestones and assess readiness at each stage.
Change Management: Support and lead change management initiatives to ensure smooth transitions and effective adoption of new processes and systems across the organization
  • Change Management Strategy:
    • Assist in implementing a unified change management framework that aligns with organizational goals, ensuring consistent execution of change initiatives.
    • Collaborate in developing communication plans to maintain transparency and gain stakeholder buy-in throughout the change process.
    • Conduct impact assessments and assist in identifying and addressing potential resistance to facilitate seamless transitions.
    • Build and maintain a network of change agents to promote and support change efforts throughout the organization.
    • Participate in continuous improvement initiatives and provide training to enhance change management skills within the team.
Supplementary Efforts: Manage and support various additional efforts that arise, ensuring they are handled with the same level of organization, attention to detail, and strategic alignment as core initiatives:
  • Ad Hoc Initiatives: Take charge of unexpected or short-term projects, providing flexibility and quick adaptation to evolving business needs.
  • Cross-Departmental Collaborations: Engage with different departments to manage projects that span multiple functions, ensuring clear communication and effective coordination.
  • Continuous Improvement: Identify and implement opportunities for process improvement in miscellaneous projects to drive efficiency and enhance outcomes.
QualificationsEducation:
  • Bachelor's degree or equivalent work experience in business administration, project management, or a related field preferred.
Experience:
  • Minimum of 8-10 years of experience in project management or operations management, with a strong focus on change management, compliance, and team building. Proven ability to lead cross-functional teams and drive strategic initiatives from conception to completion in a dynamic environment.
Skills:
  • Experience with media buying systems, such as MediaOcean/MBOX products.
  • Skilled in developing and maintaining workflow documentation (SOPs, RASCI charts, swim lane diagrams) and ensuring compliance with regulatory standards.
  • Proficiency in tools such as Visio, Monday.com, Asana, and Salesforce.
  • Strong understanding of project management methodologies and the flexibility to adapt best practices to align with the organization's needs.
  • Excellent communication and interpersonal skills, with the ability to influence and lead cross-functional teams.
  • Detail-oriented with strong analytical and problem-solving abilities.
  • Familiarity with Global Capability Center (GCC) enablement and operational scaling processes
