Position: Production Control Clerk

Location: 5900 Capital Gateway Drive, Camp Springs, MD 20588

Position description: The Production Control Clerk helps with the implementation of quality control program on the contract with the USCIS Administration and Appeals Office (AAO). The position assists with implementing the Quality Control Plan, reviews work products and services, audits processes and procedures, evaluates compliance with quality assurance and quality control standards and acts as team lead.

Mandatory Qualifications:

  • Must be a U.S. Citizen.
  • Experience with various USCIS systems such as ELIS, Claims 3, STACKS, PCQS and RAILSA
  • Bachelor's degree in a relevant field is preferred; however, experience and education/training in related areas may be substituted for the degree requirement.
  • Knowledge of and skill in applying quality control concepts, principles, methods, techniques, and practices.
  • Ability to sample and inspect documents.
  • Ability to oversee and record observations from the performance of services.
  • Ability to maintain inspection logs.
  • Ability to identify problems and recommend solutions, process improvements, and changes.
  • Knowledge of Microsoft Office software (Word, Excel, and Outlook).
  • Knowledge of computer-based system(s) that create, edit, manage, and transmit documents and text.
  • Strong attention to detail.
  • Ability to manage time effectively.
  • Strong customer service orientation.
  • Ability to maintain confidentiality.
  • Excellent writing and oral communication skills.
  • Ability to work cooperatively with a team, as well as independently with minimal supervision. Minimum of 1 year experience with (a) supporting records and file management systems, and/or (b) providing clerical/administrative support.
  • While performing the duties of this job, the employee is frequently required to lift 0-20 lbs. and regularly lift 21-50 lbs.
  • Regular and punctual attendance is required. Must comply with company policies.
  • Must be able to pass a background investigation.

Tasks:

  • Assists with determining measures of quality to ensure a product or service is acceptable.
  • Helps assess contract requirements for quality assurance and quality control standards, criteria, and specifications.
  • Helps develop quality assurance and quality control processes and procedures.
  • Helps develop performance measures and other metrics to assess contract performance.
  • Assesses production of products and delivery of services for conformance, compliance, and/or risks.
  • Plans, schedules, and performs product reviews.
  • Oversees product reviews conducted by other employees.
  • Plans, schedules, and performs process audits.
  • Oversees process audits conducted by other employees.
  • Manages, schedules, and oversees peer-to-peer reviews conducted among employees.
  • Develops risk mitigation strategies.
  • Develops and implements preventive measures to reduce risks.
  • Ensures corrective action is taken when problems or risks are identified.
  • Corrects deficiencies when necessary.
  • Writes full reports or summary text on the results of audits and reviews.
  • Composes language for a variety of quality management documents.
  • Instructs employees on quality assurance and quality control measures, processes, and procedures.
  • Provides coaching to employees on taking corrective action after having identified errors or defects.
  • Perform all tasks with accuracy, timeliness, and attention to detail.
  • Properly handle Personally Identifiable Information (PII).
  • Enter and update data in various systems, spreadsheets, and forms.
  • Locate, track, and update files using USCIS systems, and a handheld barcode scanner; identify and resolve issues identified through system-generated error and recurring reports.
  • Perform weekly audits of own files.
  • Participate in monthly office-wide and file room audits.
  • Search for files and research information using various systems, spreadsheets, and forms.
  • Pick up, process, and deliver files upon request.
  • Connect interfiling material and correspondence to its related file.
  • Deliver files to correct staging location and/or individual, as appropriate.
  • Perform mailroom tasks such as logging mail, preparing and verifying file manifests, preparing and shipping boxes of files, etc. ·
  • Create, properly organize, and label files. Maintain neatness and organization in the file room.
  • Photocopy or scan files or portions of files, to include bate-stamping as required.
  • Maintain daily/weekly production sheet.
  • Take ownership of assigned tasks, tracking completion, and following up as needed.
  • Provide quality customer service.
  • Work independently and as a member of a team equally well.
  • If needed, approach management for help in prioritizing work to ensure all contractual deadlines are met.
  • Monitor and maintain shared USCIS email boxes, retrieve and determine if further action is required, and forward to appropriate personnel.
  • Complete all mandatory company and client site training.
  • Lead and/or participate in team meetings and team training sessions as needed to perform program related activities and other work tasks.
  • Draft team guidance and standard operating procedures for review by management.
  • Perform functions in support of program office day-to-day operations including but not limited to the tracking and managing of office supplies and assisting with asset reporting.
  • Arrange meetings, including the preparation of agendas, obtaining background materials, and notifying and sending reminders to attendees.
  • Review files and other documents to obtain information to respond to requests.
  • Type, proofread correspondence, reports, text and other written material from rough drafts or corrected copies.
  • Route correspondence to other departments for reply.
