Job Purpose and Scope

The Sales & Education Administrative Assistant plays a key role in supporting the Sales and Education teams by managing administrative tasks, streamlining workflows, and coordinating communication. This position ensures that reports are accurate, calendars are managed, and the team remains focused on its forward-thinking initiatives, contributing to the overall success of the department.

Essential Job Functions

• Manage communication across the Sales and Education teams, ensuring clear and timely exchanges of information.

• Create, update, and maintain Excel spreadsheets related to Luxury Recaps, On-boarding, Introductions, Certification, Accreditation, and the Sales/Education Report Card.

• Coordinate and manage the team's Google Calendar, including scheduling events, trainings, and team meetings.

• Track and follow up on workflow and team commitments to ensure deadlines are met.

• Compile and report learner mobile data, supporting the team's education initiatives.

• Assist with writing and reviewing content, providing skilled writing support to improve team communications.

• Continuously seek ways to enhance and improve report outputs, tailoring them for the intended audience.

• Book travel arrangements for Regional Lingerie Managers and handle other logistical needs as required.

• Provide flexible, hands-on support for teams working on tight deadlines or large projects, offering solutions when needed.

• Maintain a professional, solution-oriented approach while supporting the team in all administrative tasks.

• Ensure the team remains focused on forward-thinking initiatives, helping to prevent distractions from minor tasks.

Knowledge, Skills & Abilities

• Strong understanding of administrative processes in a fast-paced work environment.

• Familiarity with Google Workspace tools, especially Google Calendar.

• Advanced proficiency in Excel, with experience in creating and maintaining detailed reports.

• Exceptional verbal and written communication skills, with the ability to improve team writing outputs.

• Strong organizational skills with the ability to manage multiple projects simultaneously.

• Expertise in scheduling, planning, and coordinating events and travel arrangements.

• Ability to think proactively and propose improvements to enhance workflow and reporting.

• Strong follow-up and time management skills to ensure team commitments are met.

• Trustworthy, with the ability to handle confidential information and manage responsibilities independently.

• Flexible and adaptable to aid on urgent projects as needed.

Position Requirements

Basic Qualifications:

  • Bachelor's Degree in Business Administration, Communications, or a related field, or equivalent experience.
  • 2 years of administrative support experience preferred.
  • Proficiency in Excel and Google Workspace (Docs, Sheets, Calendar).
  • Strong writing and communication skills.
  • Experience booking travel and managing calendars.
