Job Description :
Volunteer Coordinator Essential Duties/Responsibilities:
  • Have a thorough understanding of the ministries of BPC
  • Responsible for moving individuals through the volunteer engagement process
    • First point of contact for individuals looking to serve
    • Ensure applications are completed
    • Perform an intake/interview of individuals, discerning and evaluating their qualifications, skills and abilities
    • Initiate spiritual gift inventory if needed
    • Walk individuals through BPC code of conduct and safety training
    • Connect individuals to the best suited serving opportunities
    • Follow up with individuals to discern the effectiveness of the volunteer match, reassign positions, or terminate volunteer relationship if necessary
  • Ensure volunteer recognition is celebrated throughout the ministry areas and work with other staff to hold an annual celebration event
  • Stay aware and up to date of volunteer opportunities within ministry areas
  • With other staff, generate communication and marketing/recruiting materials regarding serving at the church
  • Maintain accurate volunteer data and/or a volunteer software database
  • Manage groups of church volunteers including but not limited to Sunday morning teams and hospitality.
    • Scheduling weekly volunteers
    • Training new volunteers for the specific role
    • Identifying team leaders for the various groups
    • Recruiting and managing volunteer for key BPC events
  • Build and nurture staff relationships into a team mindset with volunteers
  • Develop service descriptions as needed for new volunteer roles
  • Provide reports as needed for church leadership
Event Coordinator Essential Duties/Responsibilities:
  • Act as the point person for large church events and special conferences:
    • Research and develop plans
    • Gather supplies, find vendors, create registrations, and organize volunteers
    • Ensure marketing and communication requests are generated
    • Be onsite for events ensuring day-of logistics including tear-down/wrap up
    • Ensure debriefs occur for the events
  • Assist the Director of Care with Legacy events and planning memorials/funerals
  • Manage budget spending for events and environments
  • Schedule and track weddings by receiving and screening wedding requests, meeting with brides/families to arrange details, supporting the pastor performing the wedding and handling invoicing and coordinating any reception details if applicable
  • Track BPC inventory of event-related material such as dcor, props, serving items, etc.
  • Act as an advisor to BPC ministry leaders for events for which they have responsibility
  • Along with other BPC staff and with Pastor consultation and input, create visuals within the Sanctuary that complements the sermon series or seasonal holidays
  • Attend staff meetings, attend department planning meetings as needed
Required Skills and Abilities:
  • An understanding and passion to see the body of believers be actively volunteering in the church
  • An energetic self-starter with the ability to motivate others
  • A discerning listener
  • Strong communication skills
  • Ability to effectively oversee multiple tasks at any given time
  • Strong organization and time-management skills
  • Detail oriented with the ability to problem solve
Minimum Qualifications, Education and Experience:
  • Previous experience in volunteer management a plus
  • Bachelor's degree preferred
  • Flexible schedule to accommodate meetings outside of normal business hours
  • Ability to work effectively in a team environment
  • Proficient computer skills in Microsoft Office and Google Drive with the ability to learn new software
  • Satisfactory background check required for all positions
Physical Requirements:
  • Able to type and enter data on a computer
  • Able to communicate effectively in English, both orally and in writing, with all staff, church leadership, members of the congregation, and volunteers
  • Able to sit for longer periods of time and walk around the church campus
  • Able to lift, carry and move items as needed for events up to 20 pounds
  • Able to drive
