Job DescriptionManage overall operations and is responsible for the effective and successful management of labor, productivity, quality control and safety measures as established and set for the Operations Department (Logistics, Distributions, and mail/courier services). Ensure safe and efficient operations. Serve as a department representative on regulatory issues. Enhance the operational procedure, systems and principles in the areas of information flow and management, business processes, enhanced management reporting and looks for opportunities to expand systems.ResponsibilitiesOperations manager managing day-to-day activities, analyzing statistical reports, and liaising with other team members in the organization, including interacting with managers of different areas of the organization, presenting findings to stakeholders, and provide training and supervising new employees and tracking and measuring staff performance. Other duties and responsibilities include: Recruit, select, train, assign, schedule, coach, counsel and discipline employeesCommunicate job expectations; planning, monitoring, appraising and reviewing job contributionsPlan and review compensation actions; enforcing policies and proceduresContribute operations information and recommendations to strategic plans and reviews; prepare and complete action plans; implement production, productivity, quality and customer-service standards; resolve problems; complete audits; identify trendsForecast requirements; prepare an annual budget; schedule expenditures; analyze variances; initiating corrective actionsDevelop operations systems by determining product handling and storage requirements; develop, implement, enforce and evaluate policies and procedures; develop processes for receiving product, inventory management and shippingAnalyze process workflow, employee and space requirements; implement changesMaintain safe and healthy work environment by establishing, following and enforcing standards and procedures; complying with legal regulationsUpdate job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizationsAccomplish operations and organization mission by completing related results as neededMeet or exceed operations labor budget expectationsManage staff levels, wages, hours, and performanceResponsible for all department supervisor and leads, with review/approval responsibility for all operations employeesRun a safe, injury/accident free workplaceManage relationships with key operational departmentsReview and approve all operational invoices and ensure they are submitted for paymentCommunicate customer issues with operations team and devise ways of improving the customer experience, including resolving problems and complaintsWork closely with Supply Chain leadership team to set and/or implement policies, procedures and systems and to follow through with implementation.Communicate all operating policies and/or issues at department meetingsWork closely with the inventory coordinator and purchasing team to perform analysis of our inventory and ensure we are utilizing our inventory effectively, maintaining solid inventory data and reduce inventory on-hand.Value cultural diversity and other individual differences in the workforce. Demonstrates support for the mission, values and goals of the organization through behaviors that are consistent with CT Children's standards. Performs other related responsibilities as assigned SUPERVISORY RESPONSIBILITIESOversee all responsibilities for Logistics, Distributions, and Mail/Courier services. Participates in the selection, hiring and orientation process; partners with director in all phases of the performance management process (establishing performance standards, development, ongoing feedback/coaching, mentoring, check-ins, rewarding and appraisal) for assigned staff. Implement staffing plan, schedule staff and ensure appropriate staffing level to support provider presence. Tracks employee time on the timekeeping system (Kronos). Sets priorities for the team to ensure task completion; coordinates work activities with other leaders. Participates in a variety of administrative managerial activities such as the development, implementation, and enforcement of policies and procedures; and maintains appropriate department files (e.g. employee files, incident reports, etc.). Decisions are guided by policies, procedures and the organizational plan; receives guidance and oversight from director.QualificationsExperience Required: At least 3-5 years of position-related healthcare experience. Education Required: Bachelor's degree required.KNOWLEDGE OF:Excellent communication and leadership skills, able to clearly delineate information to staff and allocate proper labor resources to each assigned taskSKILLS:Technical aptitude to navigate and manage multiple information systems as well as Microsoft Officeapplications, particularly Excel, to identify cost reduction and process improvement opportunities.
