The Columbia Engineering Finance team is looking for an organized and detail-oriented professional to assist the Senior Manager of Budget and Finance in streamlining the fellowship funding process for our graduate student population. The incumbent will be responsible for developing operating procedures relevant to graduate aid in general and fellowships specifically. The individual will utilize reporting tools to track and reconcile institutional and external financial aid awards and assist with managing the review and reconciliation of periods of enrollment details, outside scholarship payments, and other financial aid program awards
Responsibilities
(40%) Maintain internal and external fellowship intake information from both academic departments and PhD students in order to accurately track the total funding package for graduate students and fellows. Collects funding letters each term, and codifies the funding for each fellow and the necessary support from the School, department, and or PI.
Liaise with funding agencies to better understand the parameters for funding and document these processes for SEAS and the departments.
Works with internal departments to consolidate the list of fellows at the start of the year or at the start of each term as needed. Process tuition, fees, and stipend funding for Dean's office fellows.
Collaborate with the academic departments as a subject matter expert on PhD fellowship funding. Assist with any questions regarding funding amounts and processes.
(15%) Assists with updating the budgets for graduate and undergraduate student aid on a quarterly basis or as needed in the budget tool. Review the department submissions for funding for various department sources to see if they align with past and current trends.
(15%) Works to document and create effective standard operating procedures for our institutional aid funding materials. Works with supervisor and SEAS finance leadership to develop tracking templates and tools (spreadsheets/databases/funding guidelines) and a repository of information relevant to our funding process. Provides training support to department staff on student funding guidance.
Minimum Qualifications
Bachelor's degree and/or equivalent work experience required.
2 years minimum experience required; excellent interpersonal and communication skills required.
Must be detail-oriented with excellent quantitative, and analytical computer skills.
Ability to work independently in a dynamic environment with changing priorities and multiple responsibilities required. Strong organizational, interpersonal, oral, and written skills required
A positive, forward-thinking, mission-oriented attitude and sense of humor is a must.
