JOB SUMMARY: The person employed in this capacity will perform his/her duties under the direction of the Director of the T. R. White Sportsplex. Perform secretarial duties for the T.R. White Sportsplex.
ESSENTIAL JOB FUNCTIONS:
* Perform routine clerical and administrative work in answering phones, receiving the public, collecting all rental fees, record deposit on correct forms; issue receipts; maintain all files related to the operation of the center.
* Answer in-coming calls and route callers or provide information as required.
* Receive the public and answer questions; respond to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons.
* Fill out pay request forms;
* Mail refund checks to individual who made a cleaning deposit to rent the building.
* Prepare press releases.
* Create flyers informing the general public about various programs at the center.
* Operate a vehicle to run errands.
* Maintain inventories and order office supplies and materials, maintain departmental personnel records.
* Attend staff meetings if Director is unable to attend.
* Perform all other duties as may be assigned by the Director.
TOOLS/EQUIPMENT:
* Computer, copy machine, fax machine, postage machine & calculator.
REQUIRED EDUCATION, DEGREES, CERTIFICATES, AND/OR LICENSE:
* Graduated from a high school or GED equivalent with specialized course work in general office practices such as typing, filing, accounting and bookkeeping, and
* Two (2) years of increasingly responsible related experience, or any equivalent combination of related education and experience.
* Valid Driver's License.
EXPERIENCE, TRAINING, KNOWLEDGE AND SKILLS:
* Working knowledge of computers and electronic data processing.
* Working knowledge of modern office practices and procedures.
* Skill in operation of listed equipment.
* Ability to effectively meet and deal with the public.
* Ability to communicate effectively verbally and in writing.
* Ability to handle stressful situations.
