Position Overview:

  • CSP is seeking an Operations & Marketing Coordinator to join our firm to support the Operations & Marketing Managers day-to-day responsibilities. This position will report to the Operations & Marketing Manager, and work alongside and provide support to the Managing Partner. The individual assuming this role will possess exceptional verbal and written communication skills and work collaboratively across the organization.

Responsibilities:

Operations and Administration

  • Exelare Weekly, Monthly, and Quarterly Reports
  • Distribution of Exelare Weekly Reports
  • Ad Hoc Reporting Requests
  • Exelare and Microsoft updates
  • Assist Operations & Marketing Manager and Director of Recruiting Operations with Quarterly Business Review Presentations
  • Identify improvements &/or new policies/procedures and communicate with manager as it relates to improving overall operations and marketing initiatives
  • Coordinate office lunch orders in the office on Tuesdays
  • Take inventory and restock office supplies and snacks and ordering more as necessary
  • Keeping the kitchen space clean and orderly
  • Liaison with external vendors (for printer, building management, repairs, swag orders etc.)
  • Coordinate headshots for new employees
  • Other Duties as needed

Marketing

  • Work alongside and provide support to the Operations and Marketing Manager
  • Assist in the development and implementation of the companys brand strategy
  • Creation of HubSpot Landing Pages, Forms, and Newsletters
  • Social Media Post creation, coordination, and scheduling
  • Update monthly content calendar with each post
  • Coordinate with team members to gather required content for weekly posts and newsletters
  • Identify and execute new marketing ideas with confidence
  • Canva design creation
  • Support Marketing & Event Budget Tracking
  • Write website articles as needed
  • Assist in Event Planning as needed

Human Resources

  • Collecting, Recording, and Filing of Weekly Timesheets
  • Sending Timesheet Reminder Emails
  • Payroll Duties:
  • Support Operations and Marketing Manager with payroll processes as needed
  • Contractor Bonus Tracking
  • Updates to Master Payroll Excel Sheet
  • CSP/Contractor Onboarding
  • Offer Letter and SOW creation and distribution for Contractors
  • Onboarding file retention
  • Printing and Editing of Training Guides
  • Maintenance of Employee and Contractor Files physical and on the shared drive

Finance

  • Manage expense reimbursement process
  • Invoice tracking, ensuring timely payment
  • Track company expenses

Requirements:

  • Bachelors degree required. (Marketing or Communications concentration preferred)
  • 1-3 years of experience providing Marketing and Operational support to a company
  • Experience using social networks in a professional capacity (i.e., LinkedIn, Instagram, Facebook)
  • Experience with HubSpot and WordPress is preferred
  • Experience with Canva is required
  • Excellent written, organizational, and communication skills
  • Prior experience in administrative support or client support role
  • Ability to learn MS Suite quickly; proficiency in SharePoint, Microsoft365 preferred
  • Recruiting industry experience is a plus
  • Manage confidentiality without exception

Skills:

  • Proficiency in Microsoft Suite Outlook, Excel, PowerPoint and Word, and Google Products.
  • Ability and desire to quickly learn new software such as Exelare, Adobe, Canva, HubSpot, WordPress etc.
  • Ability to confidently present new marketing ideas
  • Ability to operate a phone system
  • Ability to juggle multiple priorities and meet deadlines
  • Payroll system experience preferred (Paychex)
  • Highly organized and detail-oriented
