Job DescriptionSchedule: Mon-Fri 9am-5pmSalary: $60,000 / yearThe Real Estate and Facilities Specialist supports Vinfen's Real Estate and Facilities departments by providing expertise in several key areas. The Real Estate and Facilities Specialist will be responsible for identifying, previewing, and securing properties for residential, commercial, and day program use.The Real Estate and Facilities Specialist will also negotiate and administer lease agreements; coordinate activities related to purchases, and communicate appropriate information to myriad constituencies. The Real Estate and Facilities Specialist will collaborate with program and facilities staff to negotiate and coordinate repair, maintenance, and lease-related responsibilities with property owners.The Real Estate and Facilities Specialist responsibilities include:Site Acquisition:Develops and maintains a network of landlords, property management companies, real estate brokers, investors, and company personnel to assist with identifying and securing residential and commercial properties suitable for Vinfen programs within budgetary parameters.Coordinates appointments for program preview and department site feasibility.Assists Facilities staff in coordinating all necessary inspections.Assists Facilities and program staff in developing punch list of build-out requirements; communicates and negotiates said requirements to/with owner.Negotiates lease or sale terms, consulting with attorneys and Vinfen management as necessary; review and process all necessary documents regarding the purchase or lease of an identified property.Lease Management:Maintains property and lease documentation.Notifies appropriate personnel of upcoming pertinent lease events (i.e., lease expirations, extension notices, etc.) and coordinates related activities.Maintains accurate and up-to-date information in Real Estate Management (REM) database.In cooperation with Facilities and program staff, determines repair and maintenance responsibilities and negotiates with property owners or landlords. Composescorrespondence pertaining to repair and maintenance issues.Negotiates and resolves landlord/tenant disputes, interfacing with program management, landlords, and outside counsel as appropriate.Provides Accounts Payable and the Purchasing Department with documentation regarding startups, changes, and contractual amendments.Provides insurance carriers with property updates (i.e., lease commencements, vacancies, terminations, etc.).Processes Accounts Payable Vouchers for lease-related expenses.Facilities:Assists Facilities Director with various tasks in managing the facilities department; related to IT, fleet management, property management, repair and maintenance coordination, etc.Reporting:Establishes, maintains, and promotes positive communication and coordination with all constituencies.Develops effective systems for collecting, organizing, analyzing, and presenting information on leased and owned properties.Planning:Works collaboratively with divisional Vice Presidents, Directors of Service, Operations Administrators, and Program Management to develop real estate operating budgets and plan future real estate needs.Provides specific, current market information to Vinfen personnel as required for corporate purchases, lease negotiations, proposal documentation and other strategic initiatives.Performs other duties, as assigned.Why Vinfen?
