Job Description :
Drew University seeks applicants for a Part-Time Ten-month Administrative Assistant position in the Educational Opportunity Scholars Program. Reporting to the Director. On-Site position from September 2024 to June 2025. The Assistant will join a dynamic team providing support to the Director, Assistant Director, and Counselor. Student success is central to the mission of EOS and the Administrative Assistant must be able to multitask in a fast-paced environment, frequently interacting with students, staff, faculty and parents, and oftentimes working with sensitive and confidential information. Key Responsibilities: The Administrative Assistant's responsibilities include coordination of the daily operations of EOS:
  • Greet visitors and ensure reception area creates a welcoming environment;
  • Ensure efficient execution of administrative procedures and processes central to the department;
  • Respond in a timely manner to requests for information and refer to other resources as appropriate;
  • Must provide accurate information on academic policies and procedures;
  • Maintain department records, research information, manage data, prepare reports, edit and format documents and presentations, produce standard reports, including those related to EOF/OSHE;
  • Regularly engage with software applications related to student support, including the University's Academic Alert System, and provide technical support to new users;
  • Manage calendars, contacts and correspondence for the department;
  • Assist the Director in monitoring departmental budgets and report on status, variances, and potential issues;
  • Maintain adequate office supplies and other material required for the operation of the department, creating PO's and requisitions and submitting for timely payment;
  • Responsible for departmental communication, including website maintenance;
  • Responsible for Room scheduling and service requests, as required;
  • May be responsible for the timely and efficient execution of special projects and other work unique to the department as assigned.
Required Qualifications:
  • Associate's degree required;
  • Bachelor's degree is preferred and/or a combination of education and experience
Knowledge, Skills, and Qualities:
  • Office administration experience; organizational and communication skills; demonstrated experience with Microsoft Office Suite and Google docs; data management skills, and report writing including ability to cull and consolidate data for reports.
  • Excellent verbal and written communication skills and a high regard for detail.
  • Strong customer service experience and the ability to professionally greet staff, visitors and students.
  • Ability to work with a diverse student population.
  • Flexibility and the ability to manage multiple tasks and priorities
