Admissions Specialist
**POSITION DETAILS**
The CUNY School of Medicine (CUNY SoM) located in the heart of Harlem, New York, is the only medical school in the City University of New York system and the only public medical school in Manhattan. Building upon 50 years of success as the Sophie Davis School of Biomedical Education, the institution transitioned to the CUNY School of Medicine (SoM) in 2016. The CUNY SoM offers an accelerated BS/MD degree (7-year program) and a Physician Assistant Masters Degree (27 months program). The Admissions Specialist, reporting to the Director of Enrollment, and performs the administrative duties of the office. The Specialist is an integral member of the Admissions team and works in partnership with the Senior Admissions Advisor. The Admissions Specialist duties will include, but are not limited to:
+ Collect and manage data on incoming students to ensure accurate and comprehensive records are maintained, facilitating effective tracking and analysis of student demographics and enrollment trends; Collect related medical school admission data and serve as a liaison to the AAMC, facilitating communication and ensuring the accuracy of data shared between the institution and the association.
+ Responsible for the collection of data and the production of the Office of Admissions and PA Report, ensuring timely and accurate reporting to support decision-making and strategic planning.
+ Serve as a liaison to the Registrar and Student Affairs for data-related matters, ensuring effective communication and collaboration to maintain data accuracy and integrity across departments.
+ Assist in the application review process by managing the receipt and verification of information, ensuring accuracy, and timely forwarding of data to other campus departments as needed to support seamless admissions operations.
+ Produce reports as requested for internal use within the school and for external inquiries, ensuring the information is accurate, relevant, and delivered in a timely manner to support various stakeholders.
+ Supervise College Work Study and Federal Work Study students in the Office of Admissions, providing guidance, training, and support to ensure effective performance and a positive learning experience.
+ Assist with scheduling interviews and collaborate with faculty, staff, and students to coordinate approximately 900-1000 interviews each admissions cycle, ensuring an organized and efficient interview process.
+ Oversee the distribution of recruitment materials to applicants, high school counselors, and other stakeholders, ensuring that all parties receive up-to-date information and resources to support their engagement with the admissions process.
+ Perform other duties as assigned by the Director of Enrollment or designee.
**QUALIFICATIONS**
Bachelor's Degree and four years' related experience required.
**Preferred Qualifications:**
+ Familiarity and/or proficiency in CUNYFirst (PeopleSoft) to effectively manage student records and administrative tasks.
+ Proficiency in Hobsons or a related data management system, enabling efficient handling of admissions data and reporting.
+ Strong interpersonal skills to foster effective communication and collaboration with prospective students, parents, and internal stakeholders.
**CUNY TITLE OVERVIEW**
Supervises activities in an operational unit supporting Admissions and/or Enrollment.
- Oversees staff activities; plans and monitors employee scheduling and coverage and coordinates training
- Serves as liaison to one or more departments providing student support services, such as Financial Aid
- Coordinates selection process activities such as applications review, verification of information, and timely forwarding of data to other CUNY areas
- Coordinates mailings and other communications
- Monitors activity and reports on both transactions and outcomes
- Completes projects to improve services and enhance productivity and cost-effectiveness
