Summary of Duties
As an employee working within the Child Welfare Program, you will have an opportunity to make a meaningful difference in the lives of Oregon's most vulnerable children and families. Your dedication will help us achieve the Child Welfare Vision for Transformation that will support children and young adults to be safer, healthier, experience less trauma and achieve a greater well-being.
As an Office Specialist 2, you will:
Application Processing: Receive and screen general applications, request fingerprinting, and document details on the district spreadsheet. Create hard files and enter applicant information into OR-Kids while scanning application packets and sending reference letters.
Certification Processing: Create emergency certification packets, process completed 1011F forms, and screen applicants. Track applications and certifications, ensuring all information is entered into OR-Kids before assignment. Request signatures for certificates and manage related documentation.
Re-certification Management: Handle updates for completed 1011F forms and track fingerprint requests. Create re-certification packets, and update records in OR-Kids. Prepare and send notifications for upcoming expiring certifications.
Participation: Attend assigned meetings and participate in training as directed by supervisors to enhance skills and knowledge.
Minimum Qualifications
A valid driver's license and acceptable driving record are required for this position.
* Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents
OR
* An associate degree in any field
OR
* An equivalent combination of education and experience.
Essential Attributes
We are looking for candidates with:
* Proven organizational skills with the ability to multitask, prioritize tasks effectively, and maintain a strong attention to detail.
* Experience using Microsoft Excel, Word, Outlook, Internet Explorer (or other web browser), and other computer application.
* Experience handling confidential information (example: credit card information; employment information, medical records, etc.).

Working Conditions
* This is an in-person position.
* As part of your job with Child Welfare you are expected to work competently within the agency's electronic information system (ORKids). Proficiency with Outlook email system and Microsoft programs are essential. You may be required to develop competencies in other software applications, depending on your job assignment.
* Occasional travel is required for attending meetings, trainings, and other case related activities.
* Employee will work a professional work week of Monday-Friday day work week of 8am to 5pm in the Tillamook branch. ; However, when in the interest of operational or worker needs, the starting and stopping times may be adjusted by the supervisor. Occasional, compensated overtime may be required, including evening and weekend work.
* You may interact with a wide range of people including some who have experienced trauma and may exhibit challenges in controlling their emotions.
* The person in this position will sit at a desk for long periods of time and may have to occasionally lift up to 40 pounds.
