Job Title: Dispatcher Reports to: Operational Manager/Upper ManagementJob Summary:A dispatcher must be highly organized, be able to make decisions, and act on them quickly with limited time and information in real-time developing situations. Dispatch must be able to deal with people in a variety of emotional states while remaining calm and maintaining a professional demeanor. Dispatch is first and foremost driver support; they monitor route progress and package delivery. Dispatch is the primary point of contact for drivers with on-the-road issues. The goal of Dispatch is to ensure that all routes are covered, that all packages are delivered in a timely manner, and ensure that all drivers are off the road as quickly and safely as possible. Please note that daily duties are subject to change daily. The ideal candidate will be someone who can multitask and help out in all aspects throughout the day.Daily Duties/Responsibilities
- Implement standards and practices as dictated by Operational Manager/Upper
- Management
- Knowledge of computer operations sufficient to enter, retrieve and manipulate data from
- multiple data sources
- Ability to read and follow oral and written instructions
- Effectively prioritize situations and make decisions based on the information received
- Able to handle multiple tasks to receive and communicate information to and from
- several sources ensuring calls are responded to and issues resolved in a timely manner
- Maintain respectful working relationships with co-workers
- Keeping work area clean and organized based on company standards
- Dispatch must run at least 1 full route every 21 days in order to maintain active status
- with Amazon.
- New Hire Orientation
- Ensure the DA has completed all required onboarding documents
- Issue DA uniform and discuss uniform policy
- Discuss scheduling policy and ask DA for scheduling preference
- Provide DA station tour
- Go over Day in the life of a DA
Opening Duties:
- Dispatch will arrive on-site no later than 1 hour prior to driver clock in time
- Upon arrival, Dispatch will check the dispatch phone, Sling, and emails for call
- outs/text messages
- Update daily log based on routes in Cortex
- Assemble Route Bags and update daily log to match
- Clock-in for DA's starts 5 minutes before the scheduled start time (pass tablet
- around)
- Mandatory Stand-up meeting before handing out route bags
- Hand out Routes/bags
- Monitor and assist drivers while performing vehicle checks and lining up for load
- out
- Assist drivers at Load-out
- Direct Sweepers
- Check to make sure all drivers have begun route in mentor
- Update/Daily Log and send AM Recap Email
- Dealing with Dropped Routes:
- If we do not have enough drivers to cover all routes, Dispatch will contact all
- unscheduled drivers to attempt to bring someone in to cover the route.
- If no drivers are available, Dispatch will take the route on the road, divide half the
- route among a few other drivers and deliver half the route.
- If another driver becomes available while the Dispatcher is delivering the dropped
- route, Dispatch will instruct the driver to meet them on route to complete the
- remainder of the route.
Throughout the day:
- Check re-attemptable packages
- Check Unplanned Stops
- Check Undeliverable packages/Call DA's regarding why the packages can't
- deliver the packages
- Monitor route progress
- Communicating netradyne violations directly with drivers in real-time
- Communicating barriers to delivery with Amazon staff in real-time
- Direct sweepers/rescues
- Conduct or help with interviews
Closing Duties:
- Upon driver's completion of routes:
- Ask how many packages are coming back and why?
- Send driver for rescues to ensure all drivers return at decent time
- Instruct the driver to gas up and return to the warehouse
- Input driver's completion time on the daily log
- When drivers arrive at the warehouse:
- Did the driver check out with Amazon?
- Does the driver have any write-ups?
- Go over driver scorecard (once a week)
- After all drivers have returned:
- Make sure all post trip DVICs have been completed and submit a paper
- DVIC for and missing post trips
- Check that all assets have been returned
- Organize route bags for next days Dispatch
- Complete daily log MANDATORY
- Send PM Recap Email including:
- Screenshot of completed post trip DVICs
- Notify HR of any write-ups or terminations needing to be
- completed
- Notify HR and leadership of any accidents/incidents
- Inspecting all vehicles for any damages
Requirements:
- Open Availability
- Basic knowledge of computers (excel, spreadsheets, Gmail etc.)
- Late nights (dispatchers can not leave until last driver is back)
- Dispatcher Experience (not a requirement but a plus)
