Position Summary
The Pathologists' Assistant Department in the College of Health Professions at Rosalind Franklin University of Medicine and Science is seeking to fill a full-time Coordinator position. The Coordinator will assist the faculty in academic and administrative initiatives and assist students in matters ranging from programmatic application through alumni events.

Essential Duties & Responsibilities
* Regulates, maintains & reconciles department's budget; develops new initiative budgets & needs.
* Performs difficult, complex, technical, and/or specialized managerial office work, which requires a detailed knowledge of the activities and procedures specific to the department.
* Assists in the preparation of the annual budget for the department, including compiling data and recommending service levels and enhancements; monitors and tracks expenditures, ensuring the department remains within approved budget allocations.
* Implements and interprets policies, procedures, and monitors day-to-day operations of the department.
* Interacts with vendors for equipment, supplies, printing services and office equipment maintenance under established guidelines; processes bills and invoices for payment.
* Provides technical assistance to department on operational issues such as university policies, purchasing, record keeping, and training.
* Prepares reports related to the activities of the department; prepares and updates a variety of periodic and special narrative, accounting, database and statistical reports.
* Documents student problems and issues, including disciplinary action, grievance procedures, and proposed dismissals.
* Coordinates and facilitates student applicant interviews, department meetings, events and works directly with prospective students to coordinate medical shadowing opportunities.
* Prepares correspondence, reports, forms, vouchers, work orders, and specialized documents related to the department from drafts, notes, brief instructions, corrected copy, or dictated tapes; proofreads materials for accuracy, completeness, compliance with departmental policies, formatting, and correct English usage, including grammar, punctuation, and spelling.
* Develops, implements, and administers standard operating procedures policies.
* Maintains strict confidentiality.
* Manages travels arrangements for faculty, as needed.
* Maintains a service oriented professional relationship with all university community members.
* Establishes, updates, and maintains departmental filing systems.
* Answers applicant questions/responds to applicant inquiries regarding program qualifications.
* Oversees special events (External Advisory Board, Midterm & Final Round-Up, Art Show, Orientation, Accepted Student Visit Day)
* Performs other job related duties as assigned.

Required Education & Experience
* High School diploma or GED equivalent.
* Experience in preparing and managing budgets.
* Office experience in administrative role.
Required Knowledge, Skills, & Abilities
* Knowledge of basic accounting principles required to reconcile and balance financial records.
* Knowledge of the rules of English grammar and composition to prepare, review and edit documents.
* Knowledge of records management systems (both manual and automated).
* Skilled in composing, editing and proofreading a variety of correspondence, reports or forms.
* Ability to use a variety of computer software programs including Microsoft Office Suite (Word, PowerPoint, Excel, Access, etc).
* Ability to type 45-60 wpm.
* Ability to independently perform administrative assignments with a high degree of detail.
* Ability to organize, prioritize and perform multiple tasks concurrently.
* Ability to exercise good judgment in safeguarding confidential or sensitive information.
* Ability to understand written and verbal instructions to complete assigned tasks accurately.
* Ability to reconcile inaccuracies and errors in documents, computer printouts and other written materials.
* Ability to effectively communicate both orally and in writing.
* Ability to identify problems and analyze alternatives to develop viable recommendations for projects and assignments.
* Ability to exercise initiative when appropriate.
Preferred Qualifications
* Baccalaureate degree.
* 4+ years experience as an administrative assistant, or equivalent, in academia.
