Position Summary:

The Front Office Operations Specialist is a key player in the daily operations of Rooted School Indy. This role requires a highly organized, detail-oriented individual with a strong commitment to providing excellent customer service in both English and Spanish. The ideal candidate will have 5-8 years of experience in a similar role, be proficient in various software and systems, and demonstrate a commitment to diversity, equity, and inclusion in their work.

Key Responsibilities:

* Serve as the first point of contact for students, families, staff, and visitors, ensuring a welcoming and inclusive environment.

* Answer phone calls, respond to emails, and handle inquiries in both English and Spanish. Assist in translating documents and communications to ensure accessibility for all families.

* Manage the school's front office operations, including mail distribution, filing, data entry, and maintaining student records. Utilize software systems to ensure efficient and accurate record-keeping.

* Coordinate appointments, meetings, and school events. Maintain the school calendar using scheduling software and ensure all stakeholders are informed of upcoming events and deadlines.

* Assist with student enrollment, attendance tracking, and other student-related administrative tasks. Provide culturally responsive support to families with questions or concerns, ensuring that all community members feel valued and heard.

* Work with vendors and school staff to manage office supplies, equipment, and facility maintenance requests. Utilize inventory management systems to keep track of resources.

* Ensure compliance with school policies, procedures, and regulatory requirements. Maintain confidentiality and secure handling of sensitive information, adhering to data privacy standards.

* Utilize and manage various software platforms, including student information systems (e.g., PowerSchool), office management software (e.g., Microsoft Office Suite, Google Workspace), and communication tools (e.g., email platforms, messaging apps). Train staff and assist in troubleshooting issues with these systems.

* Actively contribute to creating a school culture that prioritizes diversity, equity, and inclusion. Support initiatives that promote a sense of belonging and respect for all students, staff, and families.

* Work closely with school administration and staff to support the overall mission and operations of Rooted School Indy.

* Take on additional tasks and projects as needed to support the school's goals and objectives, ensuring that all efforts align with the school's DEI values.

Qualifications:

* 5-8 years of experience in front office administration or a similar role, preferably in an educational setting.

* Fluency in English and Spanish is required.

* High school diploma or equivalent required; an associate degree or higher is preferred.

* Proficient in Microsoft Office Suite, Google Workspace, student information systems (e.g., PowerSchool), and other relevant software. Experience with scheduling, communication, and inventory management systems is a plus.

* Excellent verbal and written communication skills in both English and Spanish.

* Strong interpersonal skills with a commitment to providing outstanding, culturally responsive customer service.

* Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.

* Strong critical thinking and problem-solving skills with attention to detail.

* Ability to work collaboratively with colleagues, students, and families.
