Summary:Provide communication link to all customers from inside and outside sources. Exhibit high level of customer service in attitude and appearance. Maintain customer service operations by producing sales related information through initiating, editing, retrieving, copying, coordinating, and transmitting data for key operational requirements and procedures. Maintain customer satisfaction by completing customer requests on the telephone, in person, referring inquiries. In addition, investigates, evaluates, and directs the receipt of customer complaints and claims.Duties and Responsibilities:Occupies front desk and welcome visitorsOpen and distribute incoming/outgoing mail and faxingMonitor incoming calls and direct calls to appropriate personnelAssist with employee time sheet review and fixing processing errorsGreet customers / visitors and direct them to the proper personnelMaintain security by following procedures and monitoring visitors logbookMaintain clean and safe reception areaData entry: create reports and database maintenanceGeneral support duties - postage meter, shredding, copying, scanning, and end of day proceduresServe as primary point of contact for incoming sales and technical calls, emails and customer RFQsInitiate quotation packages for customer RFQs received from various sourcesGather required information from customers as needed to enable processing of quotations (Processing specifications, drawings, part information, EAU, Lot sizes, etc.)Assemble RFQ packages and forward to estimating team for processingPrepare finalized quotation documents in Epicor and forward to customer when completedFile hardcopies and scan quotation package into SharePoint databaseOther quotation-related activities as assigned by managementOther duties as assignedJob Requirements:Intermediate level. Acquires job skills and applies existing job knowledge to complete a wide range of projects and tasks. Must be able to make decisions about the use of the organizations resources and have concerns with planning, organizing, and controlling the organizations activities to reach its objectives.Knowledge/Experience:Must possess good written, oral communication and keyboarding skills. Experience and knowledge of Microsoft Word and Excel is required. A high school degree is required and at least two years of previous experience in an office setting preferred. Communication and conflict resolution are necessary skills to work with individuals both internally and externally.
