Job Description :
Starting Wage Range: $24.60/hr. - $31.84/hr.Job Summary: Provides a variety of administrative and programming support to the Youth Enrichment and Youth Education; K-5 & 6-12 Programs. Essential Functions:
  • Screens, routes, or handles telephone calls in a professional and courteous manner.
  • Provides information and answers questions about specific programs or activities by telephone, email, social media, or in person.
  • Works closely with Program managers and coordinates all program, activity, and event marketing and advertising including emails, social media, creating and distributing flyers, Smoke Signals submissions, and working with the I.S. Department to maintain current information on the CTGR website.
  • Maintains a working relationship with local school districts, students, parents/guardians, other departments, vendors, and outside contacts to ensure that necessary information and planning is processed most effectively.
  • Provides administrative services for the department.
  • Establishes and maintains manual or electronic filing systems for program documentation including correspondence, reports, and student information, and sign-in sheets.
  • Maintains calendars (Including the Youth Community Calendar) and schedules appointments for all K-12 programs, supervisors, and is in charge of building reservations.
  • Prepares all supply, food, equipment, work, and maintenance orders and works with other departments to arrange completion of such orders.
  • Coordinates the Youth Sponsorship Program including receiving, processing, approving, documenting, and working with the Finance Department to ensure timely payment.
  • Coordinates the annual School Supply Distribution including ordering, coordinating with other departments, distribution, and documentation.
  • Works with Youth Management Staff to accept and process all program applications and registrations including acceptance/denial, payment schedules, and tracking systems.
  • Assists in event planning including travel arrangements, on-site and off-site activities, and camps to ensure that all activities are implemented in the most efficient manner.
  • Assists on occasion acting as a chaperone for youth activities both on and off-site including planning, transporting, and chaperoning youth some of which may be held during evening or weekend hours.
  • Assists as needed with tutoring and homework assistance on occasion both on-site and at local school districts.
  • Coordinates with other tribal programs to develop and implement prevention activities.
  • Assists with implementation and tracking of the Summer Youth Employment program by working closely with the Human Resources and other departments.
  • Utilizes problem solving and conflict resolution skills and works closely with the Program Manager to handle discipline problems with students or a disgruntled parent/guardian promptly and according to policy.
  • Performs a variety of other duties as assigned by supervisor.
Education, Experience, and Licenses:
  • Requires a High School Diploma or GED equivalency.
  • Requires a minimum of two (2) years of secretarial or office experience. One (1) year working with youth in an educational setting is preferred.
  • OR equivalent combination of education, training and experience.
Driving Requirements:
  • This position may require driving.
Qualifications, Registrations, and Certifications:
  • Requires excellent verbal, written, and interpersonal skills.
  • Proficiency in word processing, spreadsheets, and presentation software, particularly Microsoft Products.
  • Strong organizational skills to maximize workspace and manage workload required.
  • Ability to maintain a patient and professional attitude toward program participants and maintains confidentiality concerning families and staff required.
  • Requires frequent interaction with internal/external entities including students, parents/guardians, school districts, and other CTGR departments.
  • Ability to work well with youth at various age levels and parents required.
  • Ability to carry out instructions furnished in written or oral form required.
  • Ability to work independently without direct supervision required.
  • Ability to operate office machines including but not limited to computer, copier, fax machine, scanner, and multi-line phone system is required.
  • Ability to create professional documents including but not limited to Word documents, spreadsheets, invoices, databases, slideshows, and advertisements required.
  • Knowledge of and sensitivity to Native American culture is required.
Environmental Factors and Conditions/Physical Requirements:
  • Continually requires the ability to express or receive detailed information or important instructions through oral communication.
  • Continually requires working with fingers rather than the whole hand or arm. Requires repetitive movement of wrists, hands and/or fingers. Often requires walking or moving about to accomplish tasks.
  • Requires standing and/or sitting for sustained periods of time, raising objects from a lower to a higher position and/or moving objects horizontally.
  • Occasionally requires lifting of up to 40 pounds.
  • Due to the nature of the interactions with other employees and the public we serve, employees may be required to provide documentation of, or receive, certain health vaccinations.
  • This position is frequently subject to inside environmental conditions which provide protection from weather conditions, but not necessarily from temperature changes, and is occasionally subject to outside environmental conditions.
  • May be called upon to serve as a Disaster Reservist during emergencies.
  • Local travel is occasionally required. Travel outside of the state is infrequently is required.
