  • Data Management & Reporting:
  • Oversee and analyze various data sets to support accurate reporting and project oversight.
  • Maintain organized databases for critical section-specific information, such as case management, immunization, lab, audiology, and provider-specific data.
  • Prepare consolidated reports from collected data ensuring seamless information flow within the department.
  • Scheduling & Coordination:
  • Manage in-processing and out-processing schedules, ensuring efficient onboarding and offboarding.
  • Maintain detailed records of sign in/sign out rosters and the number of Service Members (SMs) processed for each session, while maintaining precise and up-to-date databases.
  • General Clerical Support:
  • Perform general clerical duties, including copying, faxing, mailing, scanning, and filing.
  • Uphold productivity standards consistent with departmental expectations, providing dependable and efficient administrative support.
  • Productivity & Compliance:
  • Adhere to productivity standards and maintain a level of performance consistent with other team members.
  • Ensure compliance with health, immunization, and vaccination requirements, and complete all specified DoD, DHA, and MTF training.
  • WHAT WE ARE LOOKING FOR: Education:
    • High school diploma or equivalent with at least one (1) year of college.
    • Must be a United States citizen.
    Experience:
    • At least one (1) year of experience in program assistance and/or management support within the past three (3) years, with a solid working knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint.
    Licensure & Certifications:
    • Current certification in Basic Life Support (BLS) issued by the American Red Cross or the American Heart Association Basic Life Support for Healthcare Providers.
    Skills & Competencies:
    • Organizational Ability:
    • Proven skills in managing multiple tasks and databases with accuracy.
    • Proficiency in MS Office:
    • Familiar with MS Word, Excel, and PowerPoint for effective data handling and reporting.
    • Effective Communication:
    • Ability to interact professionally with team members, managing both daily tasks and unexpected issues.
    • Confidentiality:
    • Understanding of HIPAA guidelines and patient confidentiality, ensuring all patient interactions and records are managed with discretion.
    WORK CONDITIONS: Location:
    • Work will primarily be performed at William Beaumont Army Medical Center (WBAMC) and affiliated facilities within a forty (40) mile radius with potential assignments based on operational needs.
    Schedule:
    • Hours may vary based on mission requirements, including surge support during mobilizations and demobilizations. Flexibility is required to meet mission demands.
    Compliance:
    • Follow government, DoD, and MTF clinical standards, and record work hours accurately in DMHRSi and other required systems.
