Purpose of Position:

As an Order Management Specialist, you will be a central player in our team, renewing maintenance and subscription contracts and keeping the team connected with other departments. You will support the lead-to-order and renewal process by maintaining our customer master contract data, facilitating quotes, and preparing renewal orders, and partnering with accounting, technical support, and account managers (sales personnel). The success of the order management function will depend to a significant degree on your effectiveness and accuracy. We have ambitious ideas and plans and need the right people to help develop and execute them as we transform our organization. Major Areas of Responsibility:

Order Management control:

* Ensure accuracy and timeliness of quote, legal, commercial and order entry approvals for all orders

* Validate proposals are aligned to global pricing, discounting, maintenance / subscriptions policies and meet legal compliance

* Maintain presentation quality of commercial quotes and proposals across BUs

* Act as liaison between sales, accounting / logistics team to facilitate order to cash process

* Partner with Business Operations team to maintain consistency between new sales and renewal orders

* Partner with Accounting to manage global customer management process, maintain customer master data, assist with collections process and complete vendor forms

* Partner with Technical Support and Software Development to manage licensing and Client Center access, and identify and assist in licensing issues support

* Partner with Business Development and Account Managers to coordinate client sales initiatives/campaigns

* Partner with Services to coordinate and track maintenance/subscription renewal benefits

* Partner with Channel partners and resellers to support licensing and contract management

* Identify, qualify and manage the maintenance/subscription renewal sales process

(forecasting), close sales and services to meet or exceed the assigned targets

Asset Control:

* Generate licensing for various product lines in adherence to sales policies and procedures

* Maintain accurate and current contract and asset data among various technology platforms for various product lines

* Complete ad-hoc report requests from services, software development, accounting and sales pertaining to licensing, contracts and assets

* Assist OM Global Manager to improve renewal policy and procedure communications to gain organizational buy in

* Assist OM Global Manager to maintain standard policies, procedures and training documentation of global solutions

* Provide sales onboarding and training as needed to facilitate global consistency

Knowledge and Experience - Required:

* Customer focused, action oriented and committed to driving quality results

* Experience working with large data sets and ensuring quality and accuracy

* Knowledge of process and project management methodologies and tools

* Knowledge of business processes across sales

* Business acumen in solution-based customer service

* Exceptional communication skills, both written and verbal.

* Continuous improvement attitude with ability and confidence to make recommendations

* Highly responsive, detailed orientated, leveraging ability to multi-task, work efficiently and meet tight deadlines

* Energetic with a proven ability to work autonomously and quickly adapt to change

Education:

Minimum:

* Bachelor's Degree in Business Administration or relevant experience

* 1-3 years of experience, in a sales environment / 1-3 years in a client services management role

* Advanced Microsoft Office User (e.g. Outlook, Excel, Word, PowerPoint, Project Management

* Knowledge of ERP and CRM applications

Preferred:

* Familiarity with any of the following systems and applications:

* ERP: SAP (familiar with billing and invoicing documents)

* Business Applications: CRM Salesforce Sales Cloud, CPQ, Tableau

* Multi-lingual (English / Spanish)
