You will play a key role in coordinating administrative and office management activities to support our employees and facilitate efficient business operations. This position requires a proactive and organized individual with excellent communication skills and the ability to manage multiple priorities in a fast-paced environment. Manage day-to-day administrative tasks, including answering phones, greeting visitors, responding to emails, and handling correspondence. Coordinate meetings, appointments, and travel arrangements for employees and executives. Provide additional assistance to the Executive Leadership Team as required. Maintain office supplies inventory and ensure availability of necessary materials. Oversee the maintenance and organization of the office space, ensuring cleanliness and functionality, including communication and guidance to office vendors and service providers. Coordinate with building management and vendors for repairs, maintenance, and office improvements. Manage office equipment and technology systems, including printers, copiers, and conference room AV equipment. Assist with onboarding new employees by preparing workspaces and ensuring access to necessary resources. Support HR initiatives and employee engagement activities, such as organizing team events and celebrations. Assist with monitoring of office expenses, supplies, vendor invoices, as well as, courier and post management. Prepare and process expense reports and reimbursements for employees and executives. Implement health and safety protocols and ensure adherence to regulations and company policies. Coordinate emergency preparedness plans and procedures, including evacuation drills and first aid supplies. Foster a positive and inclusive office culture through effective communication and interpersonal relations. Serve as a point of contact for employees regarding office policies, procedures, and general inquiries. Collaborate with management to plan and execute office-wide initiatives and activities.Requirements 1+ years of experience as an office manager, administrative assistant, or similar role. Excellent organizational and time management skills with the ability to prioritize tasks. Strong attention to detail and problem-solving abilities. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software (e.g., ERP systems). Excellent communication skills, both written and verbal. Ability to maintain confidentiality and handle sensitive information with discretion. A valid driver's license is required.Education and/or Certifications: Bachelor's degree or equivalent work experience in Business Administration, Office Management, or a related field is preferred.The above statements are intended to describe the general nature and level of work performed by people assigned to this classification.
