Western State Hospital is looking for an experienced Administrative Assistant who can hit the ground running and provide personalized administrative support to the Deputy Chief Executive Officer. You will work on a one-to-one basis on a variety of tasks related to the executive's working life and communication. The role requires superior attention to detail, great organizational skills, and a solution-focused approach to problem-solving. Working in a deadline-driven environment requires expert-level multi-talking skills and the ability to identify ways to drive efficiency. Use your honed skills and competencies to think ahead and proactively provide diplomatic solutions in a dynamic and professional setting.
A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives is essential. Flexibility and the ability to change direction at a moment's notice will set you up for success in this demanding role. The most competitive applicant will possess the skills to react with appropriate urgency to situations requiring a quick turnaround, take effective action without knowing the complete picture, and proactively solve complex problems.
Pierce County employees are eligible to receive an Orca Card for transportation needs. Opportunities performed on-site at this work location at least three days a week may be eligible for an additional 5% premium pay in addition to the advertised salary.
Some of what you will be doing
* Act as the point of contact between the nursing staff, quality staff, executive leadership, and, internal/external clients
* Facilitate daily operations and perform essential administrative tasks to enhance productivity.
* Heavy calendar management, assisting with meeting agendas, travel coordination, some project management, and occasional event planning
* Facilitate smooth and effective communication by reviewing and responding to email, mail, and invitations
* Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures
* Draft and complete business communications, reports, presentations, and proposals
Who should apply?
Administrative professionals with a high school diploma or GED AND four years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
