This role may be filled at the Specialist or Manager level depending upon experience.Job Summary The Payroll & HRIS Specialist/Manager is detail oriented and driven to contribute to the Company's growth and success by serving as a functional lead for all payroll and HRIS related matters. This position is responsible for being a content expert in UKG, manage payroll and time entry related processes for Nassau employees and its affiliates and consistently analyze current processes and determine appropriate ways of improving efficiencies through HRIS solutions and workflows. This position must ensure accurate, timely, and compliant delivery of all related payroll functions. Reconcile payroll closing and manages payroll funding. Works with UKG to resolve day-to-day issues for payroll and time entries.Manages time and attendance module, ensuring that attendance and overtime is properly recorded and paid. Acts as liaison with state, local and federal agencies as needed.Ensures timely and accurate reporting to state or local agencies for filings not handled by UKG.Works with UKG regarding tax inquiries and filing requirements. Principal Duties and ResponsibilitiesPayroll & Time Management
- Manage all aspects of biweekly payroll processing using UKG Pro for 500+ employees in multiple states, including researching and resolving discrepancies.
- Process, audit, and correct paid-time-off requests. Manage PTO accruals in UKG Time Management.
- Ensures payroll compliance by demonstrating expert skills in assessing, managing, and implementing payroll law changes in UKG Pro.
- Works with UKG Pro to resolve issues and any other system maintenance when they occur.
- Provides finance department with quarterly compensation accruals including short term and long-term incentives.
- Assist with annual performance and compensation cycle by providing administrative support and reporting.
- Inputs changes to employee records including adjustments, manual checks, deductions, stops/voids/reissues.
- Coordinates and administers Wage Garnishment orders according to federal and state regulations.
- Computes and records all Fringe Benefit entries to update employees' records and associated accounting entries.
- Liaise with tax authorities and governing bodies to ensure timely resolution of all payroll-related tax issues. Works with UKG Payment Services to resolve tax discrepancies.
- Coordinates the efficient and effective delivery of the Time and Attendance module.
- Complete biweekly integration of time management and UKG Pro for payroll processing.
HRIS System
- Analyze department workflows and procedures and modify HRIS system to create efficiencies and process improvements.
- Act as the functional lead and content expert for all HRIS and Payroll related projects and functions.
- Develops and provides demographic and financial reports to other areas as needed.
- Supports other HR areas in utilizing system data as needed.
Other
- Complete KPI reporting and analysis on a quarterly basis.
- Assist the Finance team with year-end processes and general requests for information.
- Performs miscellaneous duties as required by management.
- Must maintain appropriate attendance.
- Provides timely, friendly and accurate customer service to all employees.
Knowledge, Skills and Abilities
- Associate's degree in accounting or business, or a related field, Bachelor's degree preferred and 3 -5 years of related experience as a Payroll Analyst or similar role.
- Certification in CPP or FPC is preferred.
- Experience and proficiency in UKG Pro and UKG Time Management required
- Experience with payroll processes, HCM systems and technologies.
- Ability to research, evaluate, analyze and implement HRIS system improvements in UKG Pro.
- Experience with applicable payroll laws and regulations.
- Proficient in Microsoft applications such as Word, Excel and PowerPoint.
- Effective problem solver, able to analyze and resolve issues with appropriate references and resources.
- Exceptionally detail-oriented and concerned with quality and accuracy.
- The ability to maintain strict confidentiality.
