The Operations Manager, Graduate Programs Office works in close partnership with the Associate Dean for Graduate and Medical Scientist Programs to manage the administrative and financial infrastructure needed to support the effective development, delivery and/or monitoring of the PhD, MD/PhD, Visiting Research Graduate Trainee and Summer Programs in the School of Medicine. This role requires strong leadership, organizational skills, and the ability to collaborate with students, faculty, and staff to ensure a supportive and efficient academic environment.
Essential Functions:
* Work with the Associate and Assistant Dean to develop the staffing plan for the Graduate Program Office to ensure appropriate support for the operations of the programs.
* Effectively manage a diverse administrative and fiscal team with independent deliverables and projects required for the operations of the four programs overseen by the GPO.
* Lead the financial operations of GPO, including but not limited to: developing and monitoring the $14 million personnel and OTPS expense budget, including student funding; providing regular analyses; answering questions about the budget; ensuring all GPO, UVA, state, and federal rules and regulations are followed; keeping faculty and staff apprised of changing rules, new processes; developing fiscal policies for the program; identifying and implementing cost savings where possible. This will include direct responsibility for several cost centers and oversight responsibility for the student funding finances.
* Collaborate with the Associate and Assistant Dean and the rest of the GPO staff to improve organizational infrastructure for the BIMS GPO office. This will include developing a process for creating updated SOPs for recurring GPO activities and working with the team to identify and implement platforms for efficient and timely information sharing.
* Ensure compliance with legal, regulatory and accreditation requirements.
* Oversee Continuous improvement of all GPO programs.
* Assisting Associate Dean with special projects.
* In addition to the above job responsibilities, other duties may be assigned.
MINIMUM REQUIREMENTS
Education: Bachelor's Degree required. Master's degree preferred
Experience: 5 years relevant administrative experience. Previous budget and staff management experience; administrative work in a medical education setting; familiarity with UVA and SOM programs/software (Workday, Oracle, Anaplan, VMED, Oasis, Box, Teams, etc.)
Preferred Qualifications
* Administrative work in an education setting; familiarity with UVA and SOM programs/software (SIS/SAFM, Workday, Anaplan, Box, etc.), knowledge of organizational structures, experience managing teams, and effective organizational use digital platforms (MS Project, MS Teams).
PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
