About the Role:

Our Spa Reservations Agents manage and supervise Spa Reservations made via phone, FS chat, email or online through Four Seasons Website. In addition, handling all PBX/operator calls and efficiently directing calls to requested departments. Designed to be a one stop shop for our guests looking to create a memorable spa experience, the agent is responsible for ensuring our guests are well looked after from the start to finish. As the first and last impression of the Hotel, this high profile department carries a special responsibility.

* Answer incoming calls and assist with making Spa appointments and directing calls for the Operator line

* Handling email requests, spa group reservations, and FS chat requests and communication regarding spa

* Consultation and familiarization of services, amenities, spa and hotel facilities

* Appointment setting and coordination thereof.

* Basic knowledge of Word processing programs.

* Utilize telephone and email according to Four Seasons service standards

* Booking, organization and fair balancing of appointments.

* Call to confirm appts when needed and stay updated on waitlist reservations

* Daily review books to ensure accuracy of each reservation and all notes updated, including special requests, celebrations, etc.

* Ensure all guest appts are accurately booked and coded correctly for HOTEL or LOCAL guest. Ensure Golden profile attached to reservation.

* Accurate communication to spa at all times regarding changes to reservations throughout the day

* Manage administrative requests as directed by the Management Team

* Manage a blocks schedule to maximize yield and schedule

* Build strong relationships with customers, Guests and Team Members in order to gain full understanding of their needs and work to serve them effectively

* Assistance to Spa operations when needed
