Responsibilities:
* Provide high-level administrative support to executives, including managing calendars, scheduling appointments, and coordinating travel arrangements.
* Prepare and edit correspondence, presentations, reports, and other documents as needed.
* Support leads in coordinating with Sales Enablement and Marketing for content development needs.
* Manage and prioritize incoming communications, including phone calls, emails, and mail, and handle them professionally and efficiently.
* Coordinate and organize executive meetings and conferences, including arranging logistics, catering, preparing agendas, taking minutes, and following up on action items.
* Prepare and process expense reports, ensuring accuracy and timeliness.
* Partner with PDS market and regional operations to organize content and create presentations for internal leadership meetings, staff events, off-site retreats, and town hall calls.
* Partner with the PDS Operations Coordinator/Manager and Variable Market Leadership Team to coordinate operational activities, meetings, outreach activities.
* Maintain confidentiality and handle sensitive information with the utmost professionalism and discretion.
* Foster strong working relationships with internal and external stakeholders, including clients, partners, and vendors.
* Anticipate the needs of executives and proactively provide support and solutions to help them achieve their objectives.
* Education, experience, and skills:
* Bachelor's Degree
* 5+ years of relevant experience
* Proven experience as an Executive Administrative Assistant or in a similar role, preferably supporting C-level executives.
* Excellent organizational and time management skills, with the ability to multi-task and prioritize effectively in a fast-paced environment.
* Strong attention to detail, ensuring accuracy in all tasks and deliverables.
* Professional written and verbal communication skills.
* Proficiency in MS Office applications, including Word, Excel, PowerPoint, and Outlook.
* Exceptional interpersonal skills, with the ability to interact with individuals at all levels internally and externally.
* Proactive problem solver with the ability to think critically and make sound decisions.
* High level of discretion and confidentiality.
* Ability to adapt quickly to changing priorities and work independently with minimal supervision.
