Position Overview

Northwest Prevention Science is seeking a detailed-oriented and resourceful Operations and Finance Manager who will ensure our organization's smooth and efficient operation. This role requires tenacity and flexibility to continually enhance the efficiency of the organization's operations, infrastructure, systems, and processes.

You will work in a growing, mission-driven organization. We prioritize collaboration internally among staff as well as in the implementation of the Family Check-Up model, which is used to serve youth and families in communities around the world. The role will be supervised by the Chief Operating Officer and will work closely with the Chief Financial Officer.

Tasks and Responsibilities

  • Project management
  • Design and oversee projects to enhance our infrastructure, support growth, and support large-scale implementation of the Family Check-Up model. E.g., organize and automate processes for ensuring all services are delivered to clients in a timely way; for managing and delivering trainings, and for facilitating and managing data collection from clients.
  • Other projects as needed

  • Project management for federally funded grants (time-limited responsibility)
  • Assist with development of organization and structure of training materials and material dissemination
  • Assist with tracking and organizing project timelines and reporting deadlines
  • Monitor grant budgets and financial tracking

  • Finances and cost effectiveness
  • Develop and manage an operations budget that supports the company's scaling efforts
  • Ensure effective allocation of resources to meet the growing demands of the business
  • Support accounting activities
  • Prepare and present financial reports monthly and quarterly
  • Use reports and overall revenue tracking to develop recommendations for organization practices and growth: e.g., revising fees annually, plan timing for hiring new staff
  • Oversee grant accounting and reporting to ensure proper tracking and utilization of funds

  • Operational Oversight
  • Supervise administrative staff
  • Develop and implement operational policies and procedures to enhance efficiency and effectiveness
  • Oversee HR processes and practices, including hiring and benefits management

Qualifications

  • Minimum of 5 years of experience with operations, including finances and budgets
  • Extensive experience with project coordination
  • Experience supervising staff
  • Preferred: experience with federal grants
  • Strong organizational and planning skills, with the ability to manage multiple tasks while maintaining attention to detail
  • Excellent communication, interpersonal, and relationship-building skills
  • Ability to self-motivate and work independently
  • Experience working successfully as part of a collaborative team
  • Open to feedback and engagement in continuous quality improvement
  • Proficiency in Microsoft 365 apps and advanced skills in Microsoft Office (Word, Excel, PowerPoint), as well as data management and scheduling tools

Education

  • Bachelor's or higher in business, finance, or related field
