Communications & Research Specialist (Administrative Executive Assistant) POSITION DETAILS Reporting to the Deputy Chief Operating Officer, the Communications and Research Specialist will conduct thorough research, analyze data, and effectively communicate findings and recommendations to the Deputy Chief Operating Officer. The incumbent will prepare executive communication to support operational initiatives and objectives. The Communications and Research Specialist will also be responsible for creating, editing, and distributing high-quality content, as well as coordinating communication efforts across various channels. Lastly, the Specialist will be responsible for managing and tracking communications, schedules, and projects. In addition to the CUNY Title Overview, other key duties include, but will not be limited to the following: Assists in managing internal and external communications, ensuring consistent messaging. Prepares briefing materials, talking points, presentations, and background information. Monitors and reviews effectiveness of communication strategies and adjusts as needed. Reads and synthesizes material into an executive summary. Processes the collection, retention, and distribution of confidential and time-sensitive information and documents. Updates stakeholder mailing/distribution lists and other information required for regular office correspondences. Supports and coordinates CUNY Board-related matters such as developing materials (e.g. resolutions, briefings, presentations), timelines, and internal communications. Prepares responses to press inquiries for both external and internal community requests. Receives inquiries and resolves them, or refers them to appropriate staff, using discretion and sound judgment. Supports and coordinates efforts between departments, colleges/unit and external partners. Assists with managing the daily operations of the office to enhance organizational effectiveness and ensure confidentiality in all activities. NOTE: Until further notice, this position is eligible for a hybrid work schedule. QUALIFICATIONS Bachelors degree and four years related experience required. Preferred: Four years experience supporting a senior-level executive performing administrative, operational, and financial management work. Detail-oriented and accurate with strong quantitative, analytical, research, evaluation, and writing skills. Ability to create and deliver high-quality content across various channels. Enthusiastic, flexible, and customer-focused with strong interpersonal communication skills to work effectively with diverse members of the university community and external constituents. Strong organizational and follow-through skills with the ability to develop and execute work plans, prioritize work, manage multiple assignments, and meet deadlines. Ability to work independently and manage multiple tasks simultaneously. Capacity to handle sensitive information with discretion and confidentiality. Proficiency in using standard office software programs, and the capability to learn new job-related programs. CUNY TITLE OVERVIEW Provides support to a Campus or University Executive, organizing and supervising unit activities. Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule. Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community. Organizes, creates, and distributes key, complex management reports with a high degree of accuracy. Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities. Procures required internal and external resources and services and manages their utilization. May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing. May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.
