Reporting to the Team Lead - Logistics, this role facilitates the coordination of sales and repair orders between group companies. It focuses on delivering exceptional customer service, ensuring smooth and timely processing of orders (from quoting to delivery). Responsibilities also include handling import/export declarations and documents in accordance with applicable laws, guidelines, and agreements.

Responsibilities:

  • Coordinate and communicate with Group company service to track progress of service orders.
  • Provide pricing and delivery information for Group service-related orders.
  • Generate invoices for service-related orders and package orders for shipping personnel to include the Export documentation.
  • Handle processing of complaints (QM/NCR) for Group company customers.
  • Ensure accuracy of CRM (C4C) and ERP (SAP S4 Hana) system databases, aligning with order progress and status.
  • Receive incoming repairs, verify equipment, and enter orders into the ERP system; distribute to the appropriate department. This includes the physical opening and unpackaging of boxes.
  • Act as backup for Service Administration, supporting various administrative functions.
  • Coordinate delivery processing, including invoicing, in collaboration with production and logistics, ensuring timely execution with carriers and internal teams and communication to both internal and external customers.
  • Act as back-up contact for internal and external customers regarding orders, deliveries, invoices, prices, availabilities, and lead times.
  • Perform general administrative tasks such as archiving and reporting.
  • Back-up to coordinate logistics operations, including shipping and transportation, resolving issues promptly through effective communication with suppliers, carriers, and internal teams.

Requirements:

  • Minimum 1-3 years of experience in order management.
  • Strong proficiency in MS Office Suite, and logistics software preferred.
  • Knowledge of C4C and SAP S4 Hana preferred.
  • Excellent organizational and time-management skills.
  • Effective communication skills, both verbal and written.
  • Ability to work independently and collaboratively in a team-oriented environment.
