As a vital part of the Southampton County electrical grid, it efficiently delivers bulk electrical power to serve the needs of local consumers.Opportunity SummaryThe Administrative Supervisor plays a pivotal role in the organization, overseeing a wide range of responsibilities, primarily focusing on accounts payable, human resources, and general administrative functions. This role is instrumental in maintaining the efficiency of administrative processes, ensuring financial compliance, fostering a productive work environment, and providing effective oversight and supervision of the Purchasing / Warehouse operations, all while contributing to the overall success of the organization.Primary Functions
  • Review purchase requisitions to ensure lowest cost option goals are met and oversee the issuance purchase orders to the appropriate vendor
  • Match vendor invoices with material packing lists to permit approval of vendor payments
  • Reconcile monthly credit card statements
  • Administer accounts payable and receivable functions to include verification of items purchased, invoicing records, coordination with the plant accountant, vendors, and plant personnel
  • Provide customer with accurate and timely invoices, inventory summaries, cash requirements, budget variance reports and other requirements as requested by customer
  • Assist with plant budget preparation, monitoring and reporting
  • Maintain all plant administrative files and document control logs
  • Work with the Plant Manager to implement policies and programs
  • Administer procedures for plant spare parts and physical inventory control and auditing
  • Responsible for benefits administration of plant personnel in accordance with corporate Human Resources requirements
  • Administer the fitness for duty policy in accordance with policy
  • Maintain accurate records of employee training, safety, and workers compensation claims
  • Use appropriate interpersonal skills and communication methods to build constructive relationships with the customer, vendors, and other plant personnel to meet shares goals and objectives
  • Fully support and participate in NAES Safety and Regulatory Compliance Programs
  • Complete other tasks as requested by the Plant Manager

Effectiveness in carrying out this responsibility is part of the evaluation of each employee's performance.Working RelationshipsThe Administrative Supervisor reports to the Plant Manager and collaborates with the plant staff as needed in the daily operation of the plant. Additionally, the Administrative Supervisor will supervise the purchasing/warehouse personnel and Administrative Assistant within the administrative department.Working ConditionsSome work may require protective equipment to be worn (hard hat, safety glasses, hearing protection). There are extensive smoking restrictions in and around the facility.Fitness for DutyAll employees will participate in the Fitness for Duty Program. This program includes a post-offer drug screening and post-employment random drug screening.Work ScheduleRegular scheduled workdays are Monday to Friday, during normal working hours 7:00 am - 4:00 pm. Position may require extended working hours with the possibility of weekend and holidays, as required by workload.CompensationThe initial compensation available for this position will range from $76,600 to $95,000.Job Qualifications
  • Proficiency in understanding procedures and instructions specific to the assigned area, typically acquired during high school education
  • Ability to comprehend and adhere to procedures and instructions relevant to business administration
  • Extensive experience in office administration, with a notable focus on general accounting, budget control, and reporting
  • Comprehensive knowledge of the entire accounts payable (AP) process
  • Strong understanding of accounting principles, including sales tax codes and accruals, essential for accurate financial management
  • Skillful in HR and payroll administration, effectively supporting HR functions
  • Familiarity with HR policies, including the Fitness for Duty policy, ensuring adherence to corporate guidelines
  • Capability in managing benefits administration in accordance with Corporate HR requirements, contributing to employee well-being
  • Strong computer skills, including proficiency in word processing and spreadsheet programs
  • Exceptional oral and written communication skills, facilitating effective interaction with vendors, employees, and auditors
  • Outstanding organizational skills, enabling efficient management of multiple tasks, record maintenance, and effective oversight of administrative functions
  • Possession of a valid, in-state motor vehicle operator's license at all times
