This role covers front desk coverage, supports mailroom operations, and delivers exceptional customer service. The position also provides key administrative support for the division and assists with Public Disclosure Request (PDR) coordination for the Northwest Region. Contact vendors to resolve issues with invoices, shortages, or billing discrepancies and research past-due invoices. Create payment vouchers and accurately process invoices using TRAINS and PCMS systems. Assist with gathering and redacting records for public disclosure requests while ensuring confidentiality. Answer and operate multi-line phones, provide accurate information, and handle difficult callers professionally. Schedule and coordinate meetings, conference rooms, and motor pool vehicles using MS Outlook. Sort, distribute, and process incoming and outgoing mail and packages, including applying postage and tracking costs. Audit labor timesheets for accuracy, reconcile payroll problems, and support payroll requirements. Maintain and edit databases, reports, and correspondence using MS Word, Excel, and other systems. Perform office tasks such as lifting and transporting mail, packages, and equipment up to 50 pounds. Qualifications To be considered for this opportunity, the following are required: High School graduate or GED equivalency.
