The Warehouse Management Systems (WMS) Administrator works closely with the Supply Chain Management team to assist in varying components of the Company's Warehouse Management System (WMS). The position acts as a first line of response for system issues. The position works with the Supply Chain Management Division, Logistics HQ, and Branch offices to ensure optimal configurations for WMS conversions, enhancements, and new business requirements.
- Assist in configuring and maintaining the WMS software to ensure it meets the warehouse's operational requirements. This involves setting up user accounts, defining workflows, and customizing settings.
- Provide training and support to warehouse staff and users on how to use the WMS effectively. This includes creating user manuals, conducting training sessions, and addressing user inquiries or issues.
- Monitor the performance and health of the WMS regularly. This includes conducting routine checks, troubleshooting system errors, and implementing patches or updates to keep the system running smoothly.
- Manage data within the WMS, including data entry and validation, and ensure data accuracy. This may involve overseeing data imports, exports, and database maintenance tasks.
- Assist in implementing and maintaining security measures to protect the WMS and warehouse data. This includes managing user access permissions, configuring security settings, and ensuring compliance with data security policies and regulations.
- Coordinate with IT and other departments to integrate the WMS with other systems such as TMS (Transportation Management System), shipping carriers, and e-commerce platforms. This involves ensuring seamless data flow and system interoperability.
- Plan and oversee upgrades, updates, and enhancements to the WMS software. This includes testing new features, evaluating upgrade impacts, and coordinating implementation schedules.
- Help create and maintain documentation related to the WMS setup, configurations, procedures, and troubleshooting guidelines. This helps ensure consistency in system usage and provides reference materials for users and support teams.
- Generate and analyze reports from the WMS to evaluate warehouse performance metrics such as order processing times, inventory accuracy, and resource utilization. This information is used to identify opportunities for improvement and optimize operational efficiency.
- Ensure that the WMS operations comply with industry regulations, company policies, and best practices. This includes staying informed about regulatory changes and implementing necessary adjustments to maintain compliance.
Experience/ Training/ Education
- A bachelor's in information systems, business administration, logistics, or a related field is preferred
- 3 - 5 years of experience in WMS administration or a related field
- Previous experience in IT administration, specifically with WMS, is essential
- Experience with specific WMS platforms such as SAP EWM, Oracle WMS, Manhattan Associates, or others relevant to the employer's system is highly desirable.
- Certified Supply Chain Professional (CSCP) is preferred.
- Certified in Production and Inventory Management (CPIM) or vendor-specific WMS certifications are preferred.
Knowledge, Skills, Ability
- Proficiency in managing and configuring warehouse management systems.
- Strong understanding of database management and SQL queries for data extraction and reporting.
- Familiarity with network infrastructure, server administration, and system integration
- Analytical skills to identify root causes and implement effective solutions.
- Effective communication skills to interact with technical teams, warehouse personnel, and management.
- Excellent organizational abilities to manage multiple tasks, prioritize workload, and meet deadlines.
- Ability to work collaboratively with cross-functional teams including IT, logistics, and warehouse operations.
- Ability to translate technical concepts into understandable terms for non-technical stakeholders.
- Ability to troubleshoot issues related to WMS functionality, integration, and performance.
- Willingness to stay updated with advancements in WMS technology and logistics practices.
Working Conditions: Works in offices close to those of top management. Generally, works forty hours per week; however, some work shifts or extended hours during busy periods. When schedules change and problems arise, working under pressure is unavoidable, but deadlines and goals must still be met. Due to system maintenance or WMS-related support, may be required to be on-call on an irregular work schedule, including weekends, early mornings, evenings, and holidays.
