Job Duties/Scope Of Work The Operations Support Specialist provides crucial operational support to the Integrated and Site Wide Safety Systems (ISWSS) organization, assisting in the facilitation of Site Wide Standards (SWS) processes. This position will report to the Integrated and Site Wide Safety Systems (ISWSS) manager. Key Responsibilities include, but are not limited to the following: Lead and support special projects, ensuring alignment with organizational goals and execution of website development, maintenance, and committee initiatives. Assist assigned committees in the resolution of technical issues to support efficient and effective processes. Support SWS Facilitators in conducting committee meetings by capturing strategic insights and integrating discussions into actionable committee actions. Facilitate the documentation process, managing the organization, storage, and dissemination of committee materials through designated systems, websites, and SharePoint. Develop and distribute committee-related reports Collaborate with facilitators and committee chairs to ensure clarity, consistency, and accuracy in meeting documentation and action items. Collaborate with the facilitator, committee chairs, and colleagues to foster effective communication and problem-solving. Provide regular updates to management on the status of tasks and projects related to document management, website administration, and SharePoint maintenance. Engage with stakeholders to clarify tasks when needed, ensuring alignment with organizational objectives. Collaboration & Communication: Work closely with the direct manager to provide updates on ongoing projects and seek clarification on tasks. Maintain open communication with facilitators to ensure the timely completion of tasks Coordinate with colleagues to share task updates, maintain document accuracy, and promote a collaborative environment. Basic Qualifications Bachelor's degree or equivalent combination of education and experience plus one year of directly related experience. Strong organizational and document management skills. Experience collaborating with diverse teams and managing multiple tasks. Strong communication skills, both written and verbal. Proficient in the use of Microsoft Office software, including Outlook, Word, PowerPoint, and Excel. Desired Qualifications Proficiency in website administration and SharePoint maintenance. Ability to capture and integrate high-level strategic insights into actionable plans. Familiarity with committee operations and facilitation support is a plus.
