POSITION SUMMARYThe Finance department is looking for a friendly and professional individual to work in a part-time Clerical Support role to assist with delivering services and support to the general public and other City departments. Primary duties include answering phones, greeting customers at the front counter, providing information and answering basic questions related to financial services or customer accounts, processing payments, and reconciling the till. SCHEDULEThe regular schedule for this position is part-time, Monday - Friday, 1:00 - 5:00PM.Interviews are anticipated for December 18th or 19th.ESSENTIAL FUNCTIONS
- Delivers excellent customer service in-person at the front counter, by phone answering and transferring a multi-line phone system and by email.
- Accurately processes and records payments for utility billings, parking tickets and other amounts due from customers and other departments and provides proper written receipts or documentation. This includes proficiency using financial software.
- Performs daily reconciliation of the cash drawer with supporting documentation.
- Performs and organizes other clerical work such scanning, copying, filing and records retention.
- Assists with preparation and sending of mailings and mail distribution.
- Other duties and projects as assigned.
- Maintains punctual, regular and predictable attendance.
- Works collaboratively in a team environment with a spirit of cooperation.
- Respectfully takes direction from the supervisor.
- Follows all safety rules and procedures established for various work areas.
- Follows policies, procedures, and guidelines as described in the City of Astoria Personnel Manual and other documentation related to this position.
KNOWLEDGE, SKILLS & ABILITIES
- Highly skilled at communicating professionally both verbally and in writing.
- Highly proficient using Microsoft Office Software (Word, Excel, Outlook), Adobe Acrobat and aptitude to learn and use the City's financial software systems.
- Excellent organizational, time management and attention to detail skills.
- Ability to perform mathematic calculations and understanding of basic bookkeeping concepts.
