Job Summary and Qualifications
SPECIFIC ELEMENTS AND ESSENTIAL FUNCTIONS
1. Provide support and assistance to senior management, including but not limited to:
a. arranging appointments
b. screening calls and mail
c. project assistance and management.
2. Organize and coordinate the functions of the Administrative office so that a friendly, professional and helpful atmosphere is presented to physicians, employees, patients, their families and visitors.
3. Schedule travel arrangements as necessary (airlines, car rentals, hotels, conference registrations).
4. Coordinate and record activities of various meetings, including but not limited to: Board of Trustees, Department Directors, Environment of Care, IMPACT Team.
5. Serve as Institutional Review Board (IRB) Coordinator.
6. Coordinate workshops/in services/retreats (onsite and offsite) for Board of Trustees, Department Directors, and other groups as necessary.
7. Work with senior management and Division to coordinate functions, projects, reports, etc.
8. Coordinate contract renewals and ensure compliance of contracts with corporate and regulatory standards.
9. Act as liaison with physicians, patients, families, employees, and visitors.
10. Maintain schedule of meeting rooms.
11. Records Management Liaison for Administration - ensure compliance with HCA Records Retention Policies.
12. Maintain current layout and printing of Physician Directories and other in-house publications.
13. KRONOS input and oversight for Departments 900 and 950.
14. Maintain Business Courtesies Log and tracking to ensure compliance with HCA Ethics and Compliance policies.
15. Coordinate and input contract/agreement information for physician agreements in Upside electronic system.
16. Maintain Referral Source Contract Log to ensure compliance with HCA and Federal regulations.
17. Other duties as assigned.
QUALIFICATIONS
EXPERIENCE
Preferred: Minimum three to five years of Executive Secretary experience in a health care or industry setting providing direct support to Executive level, including office management responsibilities.
EDUCATION
Required: High school graduate
Preferred: College graduate
