Hiring Agency: Revenue - Agency 16 Location: Lincoln, NE Hiring Rate: $16.277 Job Posting: JR2024-#######3 Office Specialist (Open) Applications No Longer Accepted On (If no date is displayed, job is posted as open until closed): 12-27-2024 Job Description: *The Department does not sponsor non-immigrant work or Student visas for this position.** An employee in this position performs a variety of technical operations and assists with some computer generated listings, as well as taxpayer inquiries. This involves extensive research and analysis through use of paper and electronic listings, PC programs, and OnBase. This position performs reviews of documentation. This involves daily oral and written communication with teammates on logistical functions, security requirements, along with limited written and oral communications with taxpayers. Job duties include: 1. Training peers. Sharing information, identifying possible problems and formulating solutions. 2. Educating taxpayers on various tax programs. 3. Answering the Department's main phone line on the switchboard, routing callers to Taxpayer Assistance or other Revenue teammates. 4. Filling forms requests for taxpayers. 5. Taking quarterly copier readings and reconciling the copier billing. 6. Scheduling conference rooms in Outlook for teammates. 7. Assigning temporary access cards for Revenue teammates who forgot their access cards and issuing visitor badges for Revenue vendors coming into Revenue. 8. Using Word mail merge, pre-identify some monthly forms. 9. Logging and routing express packages for Revenue. 10. Placing service order tickets with State Building Division and the OCIO. 11. Creating contracts and purchase orders/requisitions in E1 for services and commodities needed by the Department. 12. Assists with other functions as the need arises. Requirements / Qualifications: Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency, OR experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment. Knowledge of: Web and PC software applications, general accounting principles, and business office procedures. Skill in: Operation of PC, calculator, and other basic office machines. Ability to: Communicate effectively by telephone, face-to-face, and in writing with tax preparers, taxpayers, teammates, and supervisors, Research and analyze accounts; recognize errors during review of tax returns, applications, and reports. Apply various policies, procedures and instructions in the area of tax administration; work on broad assignments with responsibility for daily decision-making; organize and coordinate daily functions.
