We are fully committed to continuous growth and advancement; we will reinvest profits and resources into our employees, our processes and product innovation.Job Title: Payroll Specialist Department : Human Resources Classification: Non-Exempt Summary: The Payroll Specialist ensures the accurate and timely processing of payroll across multiple countries while adhering to local regulations. This role works closely with internal teams and external vendors to support payroll operations, address employee inquiries, and maintain compliance globally.The ideal candidate possesses knowledge of payroll processes, compliance regulations, and payroll and tax laws. Additionally, they will possess strong communication skills, the ability to collaborate with various departments to gather and validate payroll information, resolve discrepancies, and deliver outstanding service to our employees. As Payroll Specialist, a typical day may include: Payroll Processing:
  • Process bi-weekly, semi-monthly, or monthly payroll (depending on company needs) for all employees.
  • Review and validate timesheets, hours worked, and other payroll data.
  • Administer and process employee reimbursements through Concur and manage 401(k) contributions and related transactions
  • Ensure all payroll transactions are accurate and compliant with company policies and regulations.
  • Ensure adherence to payroll policies, procedures, and best practices, and promptly report any compliance issues to HR for resolution.
Records Management:
  • Maintain employee payroll records, including wage adjustments, deductions, bonuses, and tax withholdings.
  • Ensure accurate data entry into the payroll system and maintain up-to-date employee information.
Compliance:
  • Ensure payroll compliance with federal, state, and local laws, including tax filings and reporting requirements.
  • Stay updated on changes in payroll laws and regulations.
Issue Resolution:
  • Address and resolve payroll discrepancies and employee inquiries in a timely manner.
  • Collaborate with HR and Finance to ensure proper resolution of payroll-related issues.
Reporting:
  • Generate payroll-related reports for management, including wage summaries, tax filings, and benefits deductions.
  • Assist in audits by providing necessary payroll documentation and reports.
System Maintenance:
  • Manage and optimize payroll software systems.
  • Collaborate with HRIS or IT teams to implement payroll-related system upgrades or changes.
Additional:
  • Provide general support to HR department as needed.
  • Perform additional duties in support of organizational goals.
RequirementsYou're a great fit for this position if this describes you;
  • Bachelor's degree in accounting, finance, business administration, or a related field.
  • 1-3 years of experience in payroll, with a focus on global payroll operations preferred.
  • Certified Payroll Professional (CPP) or other relevant certifications preferred.
  • Knowledge of global payroll regulations, tax laws, and compliance requirements across multiple countries for our locations.
  • Experience working in a manufacturing environment is a plus.
  • Strong analytical skills and attention to detail, with the ability to identify and resolve payroll discrepancies.
  • Capable of excelling in a fast-paced setting. Can handle pressure and adapt to changes quickly. Decisions are always focused on helping the team succeed and doing what's best for the company.
  • Excellent communication and interpersonal skills, including tact and diplomacy, to be used for effective collaboration with cross-functional teams, relationship development and conflict management.
  • Proficiency in payroll software and systems, with experience in implementing and optimizing payroll processes, and current computer software for MS Applications; Outlook, Excel, Word, and PowerPoint.
  • Strong understanding of financial principles and the ability to assist with reconciliation of payroll with financial records.
  • Proficient in producing error-free copy, particularly composing letters, reports, and documents used for decision making.
  • Demonstrated ability to manage multiple and diverse projects, employing analytical thinking, planning, prioritizing, problem solving, decision making and carrying out assigned projects with minimal supervision.
  • Strong organizational and time management skills to meet strict payroll deadlines and manage multiple priorities.
  • High level of integrity and ability to handle sensitive and confidential information.
