Position Summary:Train new team members in all job functions of the Inbound Mail Services team as well as provide ongoing refresher training for current staff; ensure quality checks are performed monthly and provide necessary feedback to team members. Work together with the Assistant Manager to maintain a Policy and Procedures Manual within IRIS, and a quality control program.Essential Functions:
Maintain a training program that encompasses all Inbound Mail Services functions (this includes assisting to maintain a Policy and Procedures Manual (IRIS) and a quality control program).Oversee the training process for new inbound Mail Services employees and provide ongoing training to current team members.Provide monthly batch reviews for each processor.Serve as a key communication person to the team with all information needed to process Inbound Mail Services incoming mail and troubleshoot problems for the team.Help to maintain all policy and processing information in the Inbound Mail Services portion of IRIS.Represent the Inbound Mail Services team at various meetings with other ministry work teams.Serve as backup to Finance Specialist, Systems Support Specialist, and Assistant Team Manager.Manage and oversee the operation of the ODBM company Mail Cart.Perform all requirements of Level 1 and Level 2 Inbound employees.Perform all higher-level tasks on machines, data verifying and cash counting.Provide basic troubleshooting and ensure general maintenance for the mail extraction and scanning equipment.Hold individuals accountable for meeting quality standards.Additional Functions:
Perform miscellaneous clerical tasks for the inbound Mail Services team.Pick up mail at the Post Office, and deliver deposits to the bank, as needed.Job SpecificationsJob Title: Inbound Mail Services Assistant ManagerStudy or Knowledge or Experience:
- Associate degree in business or related fields, or equivalent experience.
- Good customer service/people skills.
- Excellent oral and written communications, including teaching skills.
- Familiar with Microsoft Office with an emphasis in creating reports and data analysis. Includes experience in data analysis and above average math skills.
- Minimum typing speed of 100 alphanumeric keystrokes per minute, with emphasis on accuracy of typing skill.
- Excellent ten key skills required.
- Demonstrated leadership skills, including problem-solving.
- Experience in scheduling preferred.
- Previous experience as an Inbound Mail Services processor strongly preferred.
- Mechanical aptitude/dexterity/basic machine maintenance for four types of equipment.
- Good hand/eye coordination.

Internal Work Environment:Communication with teammates, Assistant Team Manager, and Team Manger is extensive. Sensitive quality control information communicated to teammates. Provide initial and ongoing training in all areas.External Communication:Frequent communication with Post Office and PNC Bank.
