Communications Agent
About the Role
The Communications Agent assists manages the hotel's phone system, including the switchboard as well as provide reservation agents with administrative support. This role requires strong organizational and interpersonal skills.
What you will do:
* Call Handling:
* Answer incoming calls promptly and courteously.
* Direct calls to the appropriate department or individual.
* Transfer calls efficiently and accurately.
* Take and relay messages clearly and concisely.
* Administrative Tasks:
* Maintain and update the company's phone directory.
* Assist with general office duties as needed, such as filing, copying, and scanning.
* Troubleshoot minor technical issues with phone equipment.
* Customer Service:
* Provide excellent customer service by answering questions and resolving issues.
* Maintain a positive and professional demeanor.
* Prepare welcome packets and luggage tags.
* Send pre-arrival email to arriving guest.
* Follow up on Reservation traces.
* Reply and action requests on F.S Messenger.
What you will bring:
* High school diploma or equivalent.
* Previous experience as a PBX operator or in a related field.
* Strong communication and interpersonal skills.
* Proficiency in using a multi-line phone system.
* Ability to multitask and prioritize tasks.
* Strong attention to detail.
