Job Summary
The University of North Georgia is currently accepting applications for a Business Support & Administrative Specialist on the Dahlonega campus. The Business Support & Administrative Specialist in the Office of Academic Affairs provides the Business Manager with direct administrative and budgetary support, which includes, but is not limited to, reviewing, tracking, and processing documentation for approval and monitoring spending within the Office of Academic Affairs and all units under Academic Affairs. Internally and externally, the specialist acts as the primary point of contact for the Office of Academic Affairs and assistance for questions or concerns directed to Academic Affairs. In addition to background checks for all cardholders, O.C.G.A. 50-5-83 requires a credit check on all employees issued a purchasing card. Additionally, credit checks must be run at the time of PCard renewal.
Responsibilities
* Provide budgetary and administrative support to the Academic Affairs Business Manager to include but not limited to:
* Review all part-time agreements and pay entry each semester to ensure pay is correct.
* Review all budget amendments.
* Create agreements for faculty each summer, ensuring correct salary.
* Review, process, and track all department travel for units in Academic Affairs (which is almost 70% of the institutions budget).
* Review, process, and track all Foundation Check Requests.
* Work with the Business Manager to ensure AA budgets and all budgets under AA are balanced and properly utilized in the best interest of the departments.
* Assist in tracking mid-year spending requests for AA units
* Assist with bi-annual training for budget managers and admins to ensure policies are being followed and provide any new guidelines for processes for personal and not personal changes.
* Performs all purchasing and p-card transactions for the Office of Academic Affairs needs, monitors expenditures, and reconciles monthly budgets. Review, log, and route documents received by Academic Affairs to include MOUs, PAFs, travel forms, faculty agreement forms, check requests, and purchase requisitions. Additional support to the budget manager as needed.
* Manage the Business Managers calendar by scheduling and tracking appointments and monitoring schedules to ensure that all appointments flow smoothly.
* Serves as primary point of contact for internal and external constituents who contact the Office of Academic Affairs (to include university system staff, Board members, legislators, community partners, alumni, students, parents, faculty, staff).
* Other job-related duties as assigned.

* Knowledge of current office software in a Windows environment.
* Knowledge of SharePoint or similar software for curriculum management.
* Possess strong oral and written communication skills.
* Excellent interpersonal and teamwork skills.
* Strong public relations and organizational skills.
* Dependability, flexibility, attention to detail and accuracy, and the ability to be professional in manner and dress.
* Ability to multi-task, manage workload, meet deadlines, and maintain confidentiality.
Required Qualifications
* Bachelor's degree required.
* At least two (2) years' of office administration experience required;
* Or equivalent combination of education and experience.
Preferred Qualifications
* Experience within a university setting preferred.
