Position Summary

HUC-JIR seeks an Executive Administrator/Institutional Advancement Coordinator to provide high-level administrative support to the Vice President for Institutional Advancement (VPIA) and the Institutional Advancement (IA) team.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

* Provide executive level administrative support to the VPIA and the Institutional Advancement leadership team.

* Manage VPIA's calendar, schedule, and confirm appointments. Maintain calendar to provide optimum scheduling, flexibility, and resolution of meeting conflicts.

* Research, collect and prepare information for the VPIA's use in scheduled meetings internally and externally.

* Manage VPIA's correspondence, address priority issues, and coordinate timely responses for VPIA correspondence.

* Support the management of major gift proposals and communications.

* Coordinate travel arrangements, attend travel planning meetings, and prepare itineraries and travel materials for VPIA, and the IA Department and special initiatives.

* Maintain professional relationships with Institutional Advancement team, students, staff, faculty, alumni, lay leaders, donors, and prospects.

* Maintain Raiser's Edge data on individual donors for VPIA, Institutional Advancement, President, and board leadership.

* Collaborate with staff to coordinate meetings and special events. Attend events and programs to support in person needs.

* Draft, proofread, print, scan and distribute various correspondences, proposals, agreements, contracts, and other documents.

* Maintain department electronic files, spreadsheets, correspondence, historical records, and other official documents.

* Track IA budgets and expenses, prepare expense reports, monitor department expenditures, and provide resources for budget reports and preparation.

* Coordinate consultant and vendor accounts payable paperwork, review incoming invoices, facilitate approval from VPIA, submit to National Business Office for timely payment.

* Perform other duties as assigned.

Qualifications

Education

* Required: College/Bachelor's degree

Experience

* Required: Ten years of administrative support experience in a not-for-profit, accounting, or educational institution; five years supporting a senior-level executive in a dynamic, fast-paced environment.

* Preferred: Executive-level scheduling, and experience working with Boards, donors, and multiple levels of organizational leadership.
