With its multiple locations and long-term expertise in online and distance learning, UMA is generally considered the university of choice for Mainers of all ages who want to attend college without uprooting their lives.The University of Maine at Augusta is seeking applicants for the position of Administrative Specialist CL2 to support the Architecture Program and Education Program. This is a full-time regular position (40 hours per week, 5 days a week). Normal daily work hours are Monday-Friday, 8:00 a.m. - 4:30 p.m., with occasional evenings and/or weekends. Work time is divided in a 60/40 split to support the two programs. This position pays $18.22 an hour, or the applicable transfer rate.Responsibilities:
  • Handle written and verbal communications with various stakeholders, such as other staff, students, and community members, and assist with questions
  • Plan and coordinate events and meetings
  • Note-take at meetings
  • Process financial transactions, such as stipends, checks, and other forms of payment
  • Order materials and supplies
  • Prepare and organize student forms, contracts, and other documents
  • Collaborate with appropriate college staff in tracking program budgets and monitoring expenditures
  • Assist in the planning and organization of the Architecture travel course, including assisting with expense and travel reimbursements
  • Support the Architecture Program's social media
  • Provide tours of the Architecture classroom spaces to potential students
  • Support the student teaching and field experience placement process in the Education Program through various administrative activities
  • Collaborate with program coordinators on tasks and projects
  • Support other administrative tasks in both programs
  • Collaborate with various departments and individuals at UMA on tasks related to both programs
  • Perform other duties as assigned by the supervisor of this position and the Dean of the College of Arts and Sciences
This position reports to the Academic Administrative Coordinator. A full position description can be found online here.   • High School Diploma or equivalent G.E.D and sufficient experience
  • 2 years of administrative support or comparable experience
Preferred Qualifications:
  • Experience with Microsoft, Google Drive, and similar programs
  • Previous job experience in Social Media Marketing or similar experience
  • Ability to manage multiple tasks and prioritize work
  • Previous budget management experience
  • Previous experience with reimbursement programs such as Concur
  • Excellent oral and written communication skills
