Scope of Position: The purpose of this position is to partner with other CCO's, coordinate care through referral entities, identify needs, and track access to climate, housing and nutrition services for the purpose of billing services for all HRSN eligible clients. In addition, this position will provide support to the Business Administrator to timely and efficiently invoice for services, provide support documentation for grants as needed, and help guide other departments in how to enter HRSN services to provide the most accurate billing and statistics.
Knowledge, Skills and Abilities Required:1. Must demonstrate a passion for The Salvation Army's mission, doctrine and local ministries; and represent the ideals of The Salvation Army in every aspect of their work.2. Proficiency with all Microsoft Office suite programs is mandatory.3. Must be able to manage a variety of projects at any given time. 4. Must be able to work in an environment that is busy and must be able to work in spite of interruptions and surrounding activities. 5. 1. Essential Duties & Responsibilities: HRSN Services
a. Responsible for input of HRSN billable services for clients at the Grants Pass Social Service office.b. Pull statistical reports from Wellsky/HMIS and other programs as needed for grant reporting and billing.c. Notify Corps Officer. of errors, missing information or changes in Wellsky/HMIS and other programs related to HRSN services.d. Maintain detailed spreadsheets for billing purposes when invoicing granter for HRSN services.e. Attend monthly HRSN update meetings.f. Attend offered trainings and conferences related to the HRSN program or other CCO related training, as appropriate.g. Design and implement filing systems appropriate for HRSN record keeping.h. Ensure filing systems are maintained and current to both TSA and HRSN retention policies.i. Ensure security, integrity and confidentiality of data.j. Notify Business Admin. of any procedural and policy changes needed to improve operational efficiency of the HRSN program.k. Maintain a safe and secure working environment for all client details.l. Work with Business Admin. to ensure all Medford sites are trained and provided retraining as needed for screening, providing services, and inputting all HRSN related services into Wellsky/HMIS.
2. Essential Duties & Responsibilities: Finance Assistant
a. Assist in pulling monthly, quarterly and year end reports for grants as assigned.b. Assist in data input into Wellsky/HMIS for grant related services.c. Pull month end reports for statistical reporting for services provided through the Administration Office.d. Assist in data entry for Seasonal program services.e. Other duties as assigned.
Physical Requirements:Must have the ability to: sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis, to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead, and to lift up to 40 lbs. (usually file boxes).
Working Conditions: Must be able to work in an environment that is fast paced and must be able to multi-task and work in spite of interruptions and surrounding activities.
Confidentiality:Requires daily involvement in personal and professionally sensitive matters which require maintaining absolute confidentiality. Works with sensitive and confidential material. Abiding by strict TSA confidentiality policies and HIPPA at all times.
Environment Conditions- Office:Works on multiple projects simultaneously in a busy, open office with frequent interruptions from phones, printers, and walk-in traffic. The department faces constant interruptions, tight deadlines, and competing priorities. Frequent contact with diverse individuals. The work environment demands concentration on technical tasks despite interruptions, requiring long periods of sitting and computer use. Projects often have strict deadlines and require efficient organization and prioritization. Must be able to pull required information from multiple sources for billing, grant reports and statistical reports.
Miscellaneous:The Salvation Army does have a dress code. This will be shared with you at the time of employment.
Work Schedule:This position requires the ability to be flexible in the work week schedule. Attendance is an essential function of this position. Regular program hours are Monday through Friday, 8:00 a.m. - 12:00 p.m.; 1:00 p.m. - 5:00 p.m., however this schedule may be modified by mutual agreement in order to facilitate the support required by the Officers. in a variety of circumstances.
