Your Specific Responsibilities:
This is a highly independent position that serves as a Records Technician for the Florida Department of Health - Sarasota County Vital Statistics Office. The role works on a team to maintain vital records (birth, death, and fetal death) in compliance with Florida Statutes and Department of Health policies, rules, and regulations.
The person in this position must be able to correctly interpret Chapter 382, Florida Statutes and Chapter 64V-1, Florida Administrative Code in order to perform required duties as deputy registrar in a large county health department. Independent decision making is necessary as the individual in this position is responsible for handling direct inquiries from the general public and for giving technical assistance to local funeral home sub registrars, hospital medical records personnel, medical examiner staff, birthing centers, midwives, funeral directors, and direct disposers, with indirect supervision.
As a Deputy Registrar in a large County Health Department (CHD) the person in this position: Prepares certified copies of vital records for issuance to the general public, funeral homes, and government agencies upon request. Determines applicant eligibility, verifies identification, and processes applications at the window for walk-in customers, for faxed orders to be picked up by courier, and for telephone orders to be charged to a credit card. Assists customers with amendment forms and procedures, as needed. Enters each transaction into EVitals computer program.
Processes daily mail requests, determines applicant eligibility and issues certified copies and receipts by return mail. Maintains a mail log in Microsoft Excel, making daily entries of all mail orders. Utilizes this system for tracking when customers call to inquire about the status of an order.
Performs secretarial duties, answers phones, maintains and organizes files and records, and orders supplies. Prepares correspondence and provides interpretation of regulations to the general public and preparers of vital records. Maintains updated lists in Microsoft Word of nursing homes, hospitals, Assisted Living Facilities (ALFs) and distributes these on a regular basis to appropriate groups.
Generates and verifies summary reports of daily financial activities entered into E-Vitals at the close of each business day. Prepares copies for Fiscal and Vital Statistics departments and distributes these according to established procedures.
Performs records management duties. These include processing of birth and death amendments, shredding and updating locater files.
Attends team meetings, Health Department staff meetings and participates in staff development activities when appropriate. Maintains client confidentiality in a manner consistent with Florida Statutes and DOH policy. Performs related duties as necessary with adjustable scheduling.

Required Knowledge, Skills, and Abilities:

* Ability to operate office machines, i.e., copier, credit card machine, automation equipment for data input/retrieval of information and records, and laptop computers.
* Ability to use Microsoft software, Excel, Word, and Outlook.
