Job SummaryRole sits at Davis Medical Center. The Medical Staff Office Coordinator plays a crucial role in managing critical operational and strategic programs within Mon Health's Medical Staff Office for system hospitals. This position serves as a key point of contact for medical staff, departmental leaders, and external stakeholders, ensuring efficient operations and adherence to regulatory requirements. The Medical Staff Office coordinator provides leadership on Medical Affairs projects or programs from initiation through delivery. Gathers required data from end users to evaluate objectives, goals, and scope to define deliverables. Ensures that all targets and requirements are met and are completed on schedule and within budget. Works closely with various internal departments to ensure the successful completion of projects. Keep leadership informed of key issues that may impact project completion, budget, or other results. The coordinator must balance ongoing Medical Staff Office administration responsibilities (approx. 30%) with defined project management responsibilities (approx. 70%). The successful candidate will possess excellent organizational, communication, and problem-solving skills to thrive in this dynamic healthcare environment.ResponsibilitiesMedical Staff Office Administration Responsibilities Assist in managing and maintaining the Medical Staff Office operations, including document management, coordination of meetings, and budget oversight. Collaborate with various departments, including Human Resources, Finance, and IT, to facilitate the efficient onboarding and orientation of medical staff across all Mon Health facilities. Manage the student and non-credentialed provider observer programs. Develop and manage the provider communication strategy across multiple communication channels (ex. web, email, etc.) Assist in the development, distribution, and management of Medical Staff Office policies, procedures, and forms, ensuring compliance with regulatory standards and accreditation requirements. Manage the monthly on-call schedule for specific specialties. Assist in preparing and organizing medical staff committee meetings, including compiling agenda materials, recording minutes, and following up on action items. Stay up to date with industry regulations and best practices related to medical staff administration, and implement changes as necessary. Project Management ResponsibilitiesManage multiple projects simultaneously. Direct and manage project development and progress from beginning to end. Define and document within the project initiation deliverables, the project technology scope, goals, and deliverables supporting business goals in collaboration with senior management and stakeholders. Build, develop, and grow any business relationships vital to the success of the project. Estimate and identify the resources and participants needed to achieve project goals. Develop scaled project plans and associated communications documents using standard tools. Facilitate or participate in routine project team meetings to establish and continually manage project requirements and expectations with team members and other stakeholders. Coach, mentor, motivate, and supervise project team members and contractors, influencing them to take positive action and accountability for their assigned work. Determine the frequency and content of status reports from the project team, analyze results and troubleshoot problem areas. Identify and resolve issues/conflicts and/or escalate where appropriate for resolution. Proactively manage potential scope and schedule changes to eliminate or minimize. Where required, escalate based on standards established within the communication plan.Knowledge, Skills & AbilitiesLight Work: Frequent lifting and/or carrying of objects weighing up to 10 lbs. with a maximum lifting of 25 lbs.Proven experience in administrative support roles, preferably within a healthcare or medical setting. Familiarity with medical staff office operations, credentialing, privileging, and regulatory requirements (e.g., Joint Commission, CMS). Strong computer skills, including proficiency in MS Office Suite and experience with electronic medical staff management systems. Excellent organizational skills with the ability to prioritize tasks, manage multiple assignments, and meet deadlines. Exceptional interpersonal and communication skills to interact effectively with medical staff, department leaders, and external stakeholders. Attention to detail, accuracy, and confidentiality in handling sensitive information. Ability to work independently, as well as collaboratively within a team environment.
