We are currently in search of an experienced Patient Access Specialist for our Frederick, MD location. The Patient Access Specialist at Kolmac Integrated Behavioral Health and all its subsidiaries ( Kolmac or the Company ) is responsible for managing the flow of patients and visitors in and out of the front door as well as front waiting area. This includes implementing administrative systems, following procedures and policies, monitoring administrative projects, and working collaboratively with care providers to facilitate program and budgetary goals. The employee, under the supervision of the Lead Nurse Practitioner will perform lab testing on specimens as directed in a CLIA waived laboratory. Position consists of a mixture of Patient Access and Laboratory Technician responsibilities based on clinic need, at the discretion of clinic Center Director and other company leadership.

  • Full Time Position
  • 1st Shift / 8 hours daily (Mon-Fri with possible occasional evening/weekend when needed)

Patient Access Specialist Responsibilities:

  • Manages scheduled appointments by checking in patients and alerting staff to patient presence. Directs walk-in patients to appropriate staff. Collects relevant patient information and maintains HIPAA compliance
  • Manages all incoming telephone calls and represents the agency as a first point of contact with a pleasant and professional demeanor. Routes calls, messages, and deliveries to appropriate staff in a timely fashion
  • Follows systems and procedures by adhering to operating practices, record-keeping systems, forms control, and budgetary requirements
  • Manages co-pay and self-pay amounts for patient visits, including documenting amounts received, and alerting patients to outstanding balances
  • Receives clinical alerts and ensures adherence to patient restrictions, including toxicology screens and appointments with clinical staff
  • Assists with management of patient documentation, including managing the availability of charts between care providers on the day of intake and ensuring UA and BAC records are retained and available for care providers
  • Manages the waiting area milieu by observing safety and well-being of patients and visitors. Alerts security and clinical staff to situations requiring intervention
  • Maintain cleanliness and order of front desk and waiting room areas

Laboratory Technician Responsibilities:

  • Assist patient with the collection of unobserved and observed urine specimens
  • Maintains specimen integrity by using aseptic technique, following company procedures, observing isolation procedures
  • Tracks collected specimen by application of identification labels, dating, and noting times of collection; maintaining daily tallies of collections performed
  • Performs “Point of Care” toxicology and HCG (pregnancy) testing
  • Properly prepares and package specimens according to specification of the laboratory and ensures that specimen are prepared for shipment in a timely manner
  • Maintains an organized and clean work area based on state health laws and the guidelines of the CCG organization
  • Records test results in quality control logs and patient electronic medical records according to CCG protocols and policies
  • Demonstrates good communication and teamwork skills
  • Monitors the availability of lab supplies and communicates needs to purchasing management
  • Performs clerical task and other job-related duties as assigned
  • Performs only those tests that are authorized by the laboratory director and require a degree of skill commensurate with the individual's education, training or experience, and technical abilities
  • Maintain records that demonstrate proficiency testing samples are tested in the same manner as patient samples
  • Adhere to the laboratory's quality control policies; document all quality control activities, instrument and procedural calibrations and maintenance performed
  • Follow the laboratory's established corrective action policies and procedures whenever test systems are not within the laboratory's established acceptable limits of performance
  • Identify problems that may adversely affect test performance or reporting of test results. Must correct the problem immediately or notify the general consultant, or laboratory director
  • Document all corrective actions taken when test systems deviate from the laboratory's established performance specifications

Peer Responsibilities:

  • Collaborate with the Center Directors and Clinical Supervisors to develop a peer informed strategy to provide effective outreach that result in improved patient recruitment and fosters a congenial relationship between Kolmac & CCG and community residents and works to decrease stigma associated with drug treatment for individuals
  • Provide peer recovery support services to patients referred who are demonstrating signs of disengagement, a need for enhanced support and those who are interested in strengthening their recovery
  • Document all services in an accurate and timely manner and within standards and regulations required
  • Ensure that documentation is completed thoroughly and in a timely fashion as indicated by CARF and state standards
  • Every contact interaction is documented in Credible (Kolmac) or SAMMS's (CCG) within 24 hours of the service
  • Ensure all patients at risk for overdose complete naloxone training during treatment
  • Attend Clinical Team Meetings and Group Supervision Sessions
  • Calls to patients when they are a no show to scheduled clinical or medical services to foster re-engagement in the treatment program
  • Contacts patient alumni for the first 90 days post-treatment and documents contact
  • Will provide recovery support by talking with patients struggling with maintaining abstinence or staying in treatment, providing encouragement, motivation, and support
  • Administers lifesaving NARCAN in the event of an overdose episode. Utilizes CPR/AED in the event of cardiac arrest
  • Completes continuing education and supervision as required to acquire and maintain certification as a Certified Peer Recovery Support Specialist. Maintains current, accurate knowledge of trends and issues related to wellness and recovery
  • Assist in linking patients to community recovery resources
  • Conduct phone contacts
  • May be required to participate in administrative tasks related to clinic success such as front desk coverage, client support, cooking meals urine screening process, etc.
  • Provide client transportation and front desk coverage as needed
  • Participates in community outreach as assigned by leadership and provides written report via email of outreach efforts
  • Other duties as assigned
  • Three plus years' experience in a medical office setting, hospital, or similar patient customer service environment. Five plus years, preferred.
  • Requires a working knowledge of medical insurance plans, billing, regulations.
  • Must have a strong knowledge of and advanced experience with Microsoft Office products with an ability to become familiar with firm-specific programs and software.
  • Excellent verbal and written communication, professional telephone manners, interviewing and interpersonal skills to interact with patients, families, members of the health care team and external agencies.
  • Ability to multi-task and adapt to changing priorities.
  • Ability to act with integrity, professionalism, and confidentiality.
  • A high degree of personal motivation and drive to achieve personal and professional goals.

The base pay for this position generally ranges between $19 a hour to $23 a hour. Factors, such as but not limited to, geographical location, relevant experience, licensure, education, and skill level may impact the pay for this position.
