Registrar SpecialistExternal postingFull-Time, Temporary, Exempt , Administrative/ProfessionalJOB SUMMARY: The Registrar Specialist supports the efficient administration of various Registrar-related functions, including student registration, grading, degree audits, transfer credit evaluation,and graduation processing. This role involves adjudicating student petitions, assisting with the verification of student records, and collaborating with other offices to provide enrollment services. The Registrar Specialist is critical in maintaining accurate student records and ensuring compliance with institutional policies and regulations.ESSENTIAL DUTIES & RESPONSIBILITIES:* Conduct degree audits and confirm degrees.* Review, adjudicate, and process student petitions for incorporation into the degree audit system.* Assist with evaluation of transfer credit from other educational institutions.* Prepare registration and enrollment related reports.* Assist with registration-related activities.* Collaborate with other student service offices in providing enrollment services and programming (Advisement Center, Orientation Programs, Financial Services, etc.).* Collaborate with department chairpersons and deans in processing petitions and graduation audits and maintain written records/documentation of such collaborations.* Collaborate with Registrar's staff in the preparation of state and federal reports (NSC, CEPI, etc.) to help ensure the timely and accurate submission of these records.* Assist in certifying student athlete eligibility.* Assist in the processing of Independent Study course requests.* Assist in processing verification of degrees and records as assigned.* Other duties as assigned.SUPERVISION RECEIVED:Supervision is received from the Associate Registrar under the general supervision of the Registrar.SUPERVISION EXERCISED:Assist with the supervision of student employees and with coordination of their work as assigned.MINIMUM QUALIFICATIONS:* Bachelor's degree from an accredited college or university.* Technology skills, knowledge, and learning abilities commensurate with the increasing technology-related demands of the Registrar's Office.* Proficiency in Office 365 suite (to include Word, Excel, and PowerPoint) and ability to learn specialized software.* Excellent organizational skills.* Excellent oral and written communication skills and interpersonal skills.* Must have customer-service oriented attitude and demonstrable, successful customer-service experience.* Ability to work independently yet function effectively as a team member.* Ability to work under occasional pressure and manage multiple tasks simultaneously.* Ability to maintain confidentiality with respect to student records.* Experience and ability to positively interact with diverse student populations and groups* Ability to perform the essential duties of the position with or without accommodation.WORKING CONDITIONS:Duties are performed indoors and not normally exposed to adverse conditions.The above reflects the general details considered necessary to describe the essential functions of the job and shall not be construed as an exhaustive statement of duties, responsibilities, or requirements that may be inherent in the job.
