Job Summary

The Shared Services Specialist provides high level business operations support to assigned departments and colleges. This senior level position monitors, processes, reviews, and approves transactional activities related to human resources, budget, grants, payroll, and procurement processes. Serves as a team lead for training and problem escalation.

Job Description

Typical duties may include but are not limited to:

* Provides high level support of day-to-day business operations including finance, human resources, procurement, budgets, contracts, grants, foundation gifts, payroll, and accounts payable.

* Monitors assigned account balances and budget activity to ensure sufficient funds for program requirements. Initiates budget transfers, amendments, and accounting adjustments.

* Initiates and/or approves human resources transactions, including hires, job edits, compensation changes, Period Activity Pay, and employee separations.

* Initiates and/or approves procurement transactions including requisitions, receipts, p-cards, spend authorization requests, and expense reports.

* Serves as payroll liaison. Makes adjustments to missing student clock in and out, updates funding source changes, certifies bi-weekly payroll reports.

* Collaborates with department and college support staff to provide training and guidance on business operations procedures.

* Researches and responds to faculty and staff questions and issues regarding finance, budget, human resources, grant, foundation or procurement transactions for assigned departments and/or college. Serves as a team lead for escalated issues.

* Provides TouchNet reconciliations and Blackbaud invoices.

* Reconciles foundation reimbursements and provides month to date reports to leadership.

* Serves as cash custodian for assigned Colleges/Schools. Maintains check logs, prepares deposits, and reconciles TouchNet.

* Assists with the development and implementation of processes and procedures of the Shared Services Hub.

* Provides high level project support to Shared Services Hub leadership.

Additional Job Description

Required Qualifications:

* This position requires eight years of directly related full-time experience or, as an alternative, an Associate's degree from an accredited institution in Accounting, Business Management, Finance, or closely related field and six years of full-time experience directly related to the job functions.

* Relevant full-time experience in accounting, bookkeeping, payroll, finance, or budgeting.

* Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Teams, and Outlook).

* Any appropriate combination of relevant education, experience, and/or certifications may be considered.

Preferred Qualifications:

* Bachelor's Degree from an accredited institution in Accounting, Business Management, Finance, or closely related field.

* Work experience in a higher education setting.

* Experience with Workday Finance and HCM modules.

Knowledge, Skills, & Abilities:

* Knowledge of basic bookkeeping, budget, human resources, and/or procurement principles.

* Knowledge of or ability to learn Workday Finance and HCM modules.

* Skill in completing assignments accurately and with attention to detail.

* Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes an equitable environment.

* Ability to work successfully as both a member of a team and independently with minimal supervision.

* Ability to take initiative to plan, organize, coordinate and perform work in various situations when numerous and diverse demands are involved.

* Ability to accurately prepare and maintain records, files, and reports.

* Ability to collect, analyze, organize and present complex financial data in a meaningful manner.

Pay Grade: 17
