Job Location : Mirror Lake,NH, USA
This is a full-time, in-person position at Camp Belknap, an all boys, overnight summer camp in Tuftonboro, New Hampshire. Founded in 1903, it is an independent, non-profit organization.
Responsibilities:
Communication & Administration:
· Staff the camp phone line, addressing questions and directing the caller to the appropriate person
· Manage the administrative email, responding or forwarding to the appropriate staff member
· Pick-up, sort, and send all mail (USPS) and manage the summer mail boat process
· Welcome all visitors and groups, providing needed support and direction
· Work closely with Communications Director to chart out communication strategy for enrollment, event execution, and participant and family communication
Registration:
· Manage and administer the camper registration and enrollment process
· Manage waitlists for all summer and fall programs
· Coordinate registration and invoicing for camp events and auxiliary programs
· Maintain accurate records of tuition payments, including the processing and posting of all payments and invoices
· Support the monthly reconciliation of all revenues related to tuition
· Serve as the liaison for all camper and guardian requests
· Administer the camper policies and communicate these policies when required
· Assure all participant and guardian contact information is updated in Salesforce database
· Update and maintain medical information through electronic medical record database
· Conduct pre-arrival review of participant documents and make follow-up phone calls to individuals and families
· Support the coordination and housing placement of summer campers and auxiliary program participants
Scholarship Management:
· Lead scholarship management of existing partner organizations and schools
· Manage all payment plans for tuition and coordinate with staff accountant
· Conduct annual visits with all scholarship partners with an in-person meeting for those within two hours of camp
· Onboard new scholarship partners and participants
· Manage and execute the trunk scholarship program, ensuring that all necessary supplies are ordered, distributed and collected each session
· Manage and cultivate the camper Bugler program, including enrolling Buglers each session and supporting the free bugle rental program and online classes
Camper & Guardian Onboarding
· Execute and manage virtual and in-person New Camper Orientation
· Serve as the primary contact for camper family questions
· Track guardian requests and conversations through Salesforce
· Educate new parents on Belknap's leadership philosophies and camp mission and policies
· Collect key information to support a successful camper experience
Data Management
· Create and design Salesforce (database) reporting and management of data related to all registration and enrollment
· Construct an enrollment summary and interpretation of data for quarterly reports. Utilize this data to outline goals and changes needed for future enrollment and scholarship processes.
· Track all applications and placement procedures for internal placement
· Collect and conduct a camp cost comparison analysis annually
· Create and distribute camper and parent surveys throughout the summer and at year-end, including a summary analysis
· Facilitate the tracking, data entry and follow up on all camper incidents
Manage Seasonal Office Staff:
· Design and manage summer seasonal office staff schedule
· Help onboard seasonal staff that will support the office team
· Encourage and solicit communication and teamwork to complete office projects
· Create, maintain and execute summer task list
Other:
· Assist in clerical work as required by the Assistant Director, or for the standard operating requirements of Belknap
· Assist in camp duties and teamwork cleaning and projects for office and camp
· Participate in aspects of camp programming to be an informed steward of camp's mission
· Work ~ 10 weekend days throughout the summer for check-in/out and other key guardian and camper facing events
Qualifications:
· A minimum of 5 years of experience in a corporate, human service or non-profit setting
· Experience with a variety of software such as Quickbooks, Salesforce or similar type products
· Excellent verbal and written communication skills
· Attention to detail
· High proficiency in MS Office Suite, Word, and Excel
· Self-motivated with the ability to multi-task
· Flexibility to work in a summer camp environment
· Bachelor's degree
· Weekend work required between May and October
